Job DescriptionPart-time Events & Decor Assistant (Hourly/Flex) Job Description Overview ChalkSense, LLC is an NJ-based woman-owned small business building a social entrepreneurship venture in the experiential events space, putting together beautiful decor and immersive experiences for unforgettable events. We are looking for a motivated, creative, hands-on, and community-impact-driven Part-time Events Assistant to join our team in bringing exceptional events and experiences to families, organizations, and communities in Millburn, New Jersey and surrounding neighborhoods. This is a paid, hourly/flex position ($20/hour) to help our team design, prepare, set up, deliver, and support beautiful, high-quality events and engaging guest experiences. Expected hours may vary from approximately 0-5 hours/week, depending on event needs, operational tasks, and other project requirements that may arise from time to time, within the candidate's availability, capabilities, and interests. Some weeks may have no work assignments. Hours are not guaranteed, and assignments are offered based on business needs and employee availability. Candidates should have flexibility to be available occasionally during evenings and/or weekends for events, event preparation, setup, takedown, or other operational support. About the Role The Events Assistant will work closely with our small, collaborative team to support event design and decor, sourcing and preparation, packing and delivery, event setup and takedown, inventory maintenance, customer service, marketing, content capture and creation, guest experiences, and other event-related and operational tasks. This is a varied, hands-on role ideal for someone who enjoys creativity, teamwork, problem-solving, and bringing beautiful ideas to life. We are building this initiative together as a team and are looking for someone who shares our passion for delivering exceptional, elevated events while creating positive community impact, supporting local talent, and bringing memorable experiences to families and organizations. Responsibilities • Support event planning, creative design, decor styling, sourcing, preparation, and execution, working collaboratively with team members to bring event concepts to life, • Assist with event logistics, including ordering or purchasing supplies (reimbursed or provided), organizing, packing, loading, delivery, setup, decor installation, guest experience stations, takedown, and cleanup as needed, • Help organize, maintain, clean, prepare, and support inventory event supplies, decor materials, equipment, and reusable assets, • Support event experiences and activities, including preparing materials, assisting instructors or facilitators, interacting with guests, and helping ensure smooth, high-quality execution, • Provide customer and collaborator support, including nurturing relationships, answering questions, collecting inquiries, and ensuring positive experiences with stakeholders, • Assist with vetting and onboarding new stakeholders such as collaborators, instructors, customers, or partners, • Conduct market research and targeted outreach to support operational, business, and marketing initiatives, • Assist with marketing tasks such as event photography/video and content capture, content creation, social media posting, newsletter editing, or stakeholder communications as assigned, • Participate in feedback, planning, creative brainstorming, and operational strategy input, suggesting improvements and solutions to enhance event quality, guest experiences, and operational efficiency, • Be available for occasional assignments during evenings and/or weekends, subject to the Events Assistant's communicated availability and acceptance of individual assignments, • Gather, prepare, process, and/or maintain clear records, reports, or paperwork of activities, stakeholder interactions, purchases, inventory, and other operational needs, • Perform work in compliance with federal, state, and local requirements, company policies, industry best practices, and other requirements and standards, as well as evolving regulations and standards that may surface from time to time, • Organize, support, and/or join virtual and/or in-person meetings, sessions, or events as needed from time to time, • Work individually and collaborate effectively with team members, providers, and stakeholders to meet business and stakeholder goals, • Be comfortable with varied event and operational tasks, including creative design and decor, event preparation and logistics, sourcing, packing, delivery, setup and takedown, inventory management, cleaning, administrative support, communications, customer service, activity coordination and execution, team building, stakeholder engagement, marketing, content creation, and other ad-hoc tasks that align with candidate capabilities and/or interests, • Perform other related duties as assigned or modified by management to support evolving event and operational needs Requirements • Excellent organizational, multitasking, and collaboration skills, • Excellent communication skills and fluency in English (both verbal and writing), • Reliable punctuality and time management, especially when supporting in-person events in New Jersey, • Ability to adapt quickly to varied environments, stakeholders, and operational needs, • Proficiency in various mediums of communication and content formats including Microsoft Office or Google Suite, email, text messaging, phone calls, virtual meetings, documents, presentations, spreadsheets, newsletters, and social media, • Comfort interacting with individuals and groups of all ages, backgrounds, and identities, • Ability to perform occasional physical tasks, such as lifting supplies (usually up to ~10 pounds, occasionally potentially ~30–40 pounds), packing and moving event materials, setting up decor and activity stations artistically and accurately, supporting cleanup and takedown, performing work accurately and safely, and adapting spontaneously to the needs of different participants, environments, situations, and events, with or without reasonable accommodation, • Willingness to learn and be flexible with evolving tasks in an early-stage initiative, • Positive, proactive, creative, team-oriented, and professional demeanor, • Willingness to support occasional evening and/or weekend events, subject to mutually agreed availability Preferred Qualifications • Prior experience in event setup, event coordination, decor, creative projects, customer service, operations support, marketing, content creation, or related areas (including relevant professional, volunteer, community, or personal projects), • Bachelor's degree or equivalent preferred, • Familiarity with social media, marketing tools, or event management tools is a plus, • Experience in community service, enrichment programs, arts and crafts, or event-related activities is a plus, • An eye for aesthetics, attention to detail, and enthusiasm for creating beautiful guest experiences are a plus What We Offer • Hourly pay of $20/hour, • Flexible, occasional work (approximately 0-5 hours/week) based on event needs
