Job Description We are seeking an Administrative Specialist to join our team! You will perform clerical and administrative functions in order to: drive company success, bring positive light on the Provision brand image, and provide top customer service to establish Provision Eyecare as the premier, full-service destination for high quality eye care. No prior experience in the eye care industry is required. You should be a very reliable and organized team player to be the point of reference for all queries, requests or issues and be an integral part of the company’s flow of operations. The ideal candidate would be proactive in professional development to advance in our company. The Admin Specialist performs clerical functions for patient billing, including verification of insurance information and resolution of problems to ensure a clean billing process. Follows up on accounts that require further evaluation. Works with others in a team environment, provide support in order to optimize workflow procedures in the office. You will assist technicians, doctors and other staff by supporting them with planning and distributing information accurately, and submitting timely communications to insurances. You should be very timely and reliable to be an integral part of the company’s flow of operations. Responsibilities • Maintains patient demographic information and data collection systems., • Data entry, • Coordinate with Scheduling and revision of appointment errors, • Verify insurance eligibility for both medical and vision insurances for upcoming appointments by utilizing online websites or by contacting the carriers directly., • Prepare and disseminate correspondence, memos and forms, • Review patient deductibles and/or copays and enter into the billing system and spreadsheets provided to the patient facing staff at all locations., • Support and facilitate the completion of regular reports, • Assist patient facing staff and call center staff in understanding carrier websites and verification of eligibility., • Enter insurance referrals as needed., • Document expenses and hand in reports, • Participates in development of organization procedures and update of forms and manuals., • Answers questions from patients, clerical staff and insurance companies., • Communicate and coordinate across insurances, vendors, other healthcare offices, and patients, • Submit clean claims, applications and other documentation to insurances and other companies we work with, • Greet and assist onsite guests with positive energy, • Answer inbound telephone calls professionally and positively, • Recall past clientele to boost appointment volume, • Assist patients with placing orders, tracking orders, • Assist with implementing positive feedback and outreach, • Develop and implement organized filing systems, • Perform all office tasks within their deadlines, • Monitor office supplies and replenish them, • Minimum of 1 year of relevant experience and/or training, or equivalent combination of education and experience, • Strong knowledge of administrative and clerical procedures., • Ability to work independently on assigned tasks, as well as to accept direction on given assignments., • Exhibit high level of quality through attention to detail and monitoring of work, must excel in multi-tasking and time management capability, • Excellent written and verbal communication skills, • Integrity and professionalism, • Proficiency in MS Office suite of software, HCFA forms, CMS forms, insurance language, • Proficient in computers and relevant software applications and practice management technology., • Possession of strong problem solving skills and sound judgment., • Bachelor's degree or 4+ years of experience, • Customer service experience, • Prior experience with insurances in a medical office

Essential Duties and Responsibilities: • Collecting and analyzing data/information to resolve a problem in real time, at high volume standards., • Provide customer service to participants to resolve eligibility or Fund benefit issues., • Displayed proficiency in all processing systems: eligibility process, Health benefits and system, COOL/V3/DYNAMICS system, CRM/WF and vendor systems, • Displayed proficiency in all Funds (Health, Pension, Legal, SRSP, Shortman)., • Handling of inquiries through vendors, Medical, Optical, Pharmacy, Dental and Employee Assistance., • Follow workflows to resolve participant questions., • Representatives analyze and interpret customer phone and written correspondence., • Ongoing management of own inventory of work accumulated through Participant interactions/inquiries. About the role: The Associate, Payment Integrity, Itemized Bill Review (IBR) will be responsible for executing internal payment integrity solutions requiring billing and coding expertise with and continual improvement and development of the solutions. You will ensure claims are paid accurately and timely with the highest quality. This is accomplished by leveraging a deep understanding of Oscar's claim infrastructure, workflows, workflow tooling, platform logic, data models, etc., to work cross-functionally to understand and translate friction from stakeholders into actionable opportunities for improvement. You will report into the Manager, Payment Integrity (Pre-Pay). Work Location: This position is based in our New York City office, requiring a hybrid work schedule with 3 days of in-office work per week. Responsibilities: • Perform line-by-line review of high-dollar facility itemized bills and corresponding claim forms (e.g., UB-04s), • Proactively identify and document potential billing errors, including duplicate billing of items, services, or procedures as improper unbundling of services (e.g., separating components that should be billed together) and charges for non-covered or non-rendered services, • Compare billed charges against both payor-specific contracts and industry guidelines to confirm appropriate billing practices., • Apply working knowledge of national coding systems (e.g., CPT, HCPCS, ICD-10, MS-DRGs) to validate the accuracy of codes used for services billed., • Review claims eligible under specific reimbursement scenarios: a percentage of charges or those exceeding stop-loss levels, ensuring the claim exceeds the minimum dollar threshold set by the payor, • Prepare clear, concise, and professional documentation of all findings, including savings identified, policy violations, and recommended claim adjustments, • Contribute to the refinement of internal audit processes and tools to enhance efficiency and accuracy in identifying claim inaccuracies, • Serve as a subject matter expert for internal and external stakeholders regarding complex billing issues, coding guidelines, and payor policies, • Provide subject matter expertise and in-depth understanding of Payment Integrity internal claims processing edits, external vendor edits and Oscar reimbursement policies, • Identify claims payment issues from data mining, process monitoring, etc., provide scoping and action steps needed to remediate the issue, • Respond to internal and external inquiries and disputes regarding policies and edits., • Document industry standard coding rules and provide recommendations on reimbursement policy language and scope, • Ideate payment integrity opportunities based on a deep knowledge of industry standard coding rules.
