Responsibilities: The Executive Administrative Assistant is a critical member of RL Farmer Wealth Strategies team. This person supports the President and Chief Investment Officer with running their day-to-day Investment practice while enhancing the customer service level and experience. This person works directly with the President and Chief Investment Officer to prepare and process client paperwork, perform client financial transactions, maintain client relationships, schedule appointments, and communicate with clients, advisors, and financial companies. Idea Candidate: -\tExperienced and dedicated to the financial services industry and serving their clients. -\tLOVES working with and engaging clients -\tHas the utmost integrity, discretion, and trustworthiness – is a must! -\tFINRA Series 7 securities registration is not required but preferred. -\tExperience with Wells Fargo Advisor Gateway software or equivalent is a bonus. Qualifications: • Previous experience in assisting Registered Representatives/Financial Advisors, • Financial services and/or banking background preferred, • Bachelor’s degree in Finance, Business, Marketing, or Communications, • Attention to detail, excellent organization skills, ability to multi-task and produce timely results in a fast-paced work environment., • Able to manage own workflow and priorities and can accommodate unexpected requests or needs from Advisors., • Self-starter, productive, works well with a team and independently., • Professional and positive attitude, friendly demeanor both in-person and by telephone, • Trustworthy; uses discretion with confidential information., • Listens well to instruction and consistently retains details., • Effective communication with clients and other advisors/staff; outgoing, personable, and friendly with the ability to build and maintain client relationships, • Exceptionally strong organizational and computer skills, • Direct attention to detail, • Effective and efficient time management, • Polite and clear phone manners, • Ability to multi-task and comfortable in a fast-paced environment, • Punctual & dependable with a high level of integrity and confidentiality, • Ability to adhere to rules and regulations as stated and required by advisor and Wells Fargo Advisors Financial Network, • Maintain confidentiality with strong ethical standard and professionalism., • Ability to support and provide guidance for compliance within the advisor’s practice, • Positive attitude and sincere willingness to constantly learn and grow Duties: • Cultivate and enhance new and existing client relationships through active communication with clients, processing client requests, resolving inquiries and making sure key information and documentation remains current., • Act as a liaison between the registered representatives and their clients., • Answer phones, schedule appointments, and prepare materials for client meetings., • Aid registered representatives in preparing client illustrations, graphs, charts, reports, etc. for registered representative presentations and appointments with clients., • Support the team’s marketing strategy by maintaining marketing materials, including digital and social media platforms, and planning client events and seminars., • Perform administrative duties that support CIO in daily business practices, including but not limited to, telephone coverage, coordination of client meetings, & calendar maintenance., • Prepare and complete client paperwork and follow up tasks to support registered representative., • Spend time with clients on the phone, via virtual visits and in person to ensure client service level needs are met., • Maintain client records and retention management within corporate requirements., • Educate clients on account services, capabilities, and new technology., • Complete required corporate training on new technologies and follow implementation guidelines., • Maintain compliance guidelines and client communication notes in CRM., • Work with CIO through weekly meetings to help maintain Advisors Business Plan process, tasks, marketing, and client communication expectations and follow up processes.
