Job Description Job Title Executive Assistant – Real Estate Development & Property Management Company Overview We are a growing real estate development and investment company focused on land development, residential projects, and income-producing assets. Our portfolio spans acquisitions, entitlement, construction coordination, and ongoing property management. We are seeking a highly organized, proactive Executive Assistant to support the Principal and act as an operational backbone across development and property management functions. This role is ideal for someone who thrives in fast-paced environments, anticipates needs, and can manage details without being micromanaged. Role Summary The Executive Assistant will work directly with the Principal, supporting day-to-day executive operations while also assisting with property management coordination, reporting, and tenant/asset oversight. This is a high-trust role requiring discretion, strong judgment, and the ability to manage multiple priorities across active projects and properties. You will serve as a gatekeeper, organizer, and force multiplier—keeping the executive focused on high-value decisions while ensuring nothing falls through the cracks. Key Responsibilities Executive Support • Manage executive calendar, scheduling, travel, and meeting logistics, • Act as primary point of contact between the executive and internal/external stakeholders, • Prepare correspondence, reports, presentations, and internal documents, • Track action items, follow-ups, and deadlines across multiple projects, • Maintain organized digital and physical filing systems, • Handle confidential information with discretion and professionalism Real Estate Development Support • Assist with deal pipeline tracking (acquisitions, entitlements, development milestones), • Coordinate with consultants, attorneys, engineers, lenders, and contractors as needed, • Help organize due diligence materials, contracts, and closing checklists, • Track key project dates, approvals, and deliverables, • Support investor communications and document preparation when required Property Management Support • Assist with coordination between ownership and property managers, • Track rent rolls, lease expirations, renewals, and key tenant dates, • Help manage maintenance requests, vendor scheduling, and work order tracking, • Maintain property records including leases, insurance, vendor contracts, and compliance documents, • Assist with basic financial tracking (invoices, approvals, expense logs), • Support onboarding/offboarding of tenants and vendors Operations & Special Projects • Improve systems, workflows, and processes as the company scales, • Assist with CRM, property management software, and document platforms, • Take ownership of ad-hoc projects as assigned by the executive, • Help enforce accountability across internal and external teams Qualifications • 3+ years experience as an Executive Assistant, Operations Manager, or similar role, • Experience in real estate, construction, property management, finance, or professional services strongly preferred, • Exceptional organizational and time-management skills, • Strong written and verbal communication, • High level of discretion and professionalism, • Ability to manage competing priorities without constant oversight, • Tech-savvy (Google Workspace, Microsoft Office, spreadsheets, project management tools) Preferred Experience (Not Required) • Real estate development or property management background, • Familiarity with leases, rent rolls, and real estate documentation, • Experience supporting entrepreneurs or C-level executives, • CRM or property management software experience (AppFolio, Buildium, Yardi, etc.) Personality & Fit • Proactive, resourceful, and detail-oriented, • Calm under pressure, solutions-focused, • Comfortable taking ownership and making judgment calls, • Strong follow-through—finishes what they start, • Loyal, trustworthy, and long-term oriented Compensation • Competitive salary based on experience, • Performance-based bonuses (role-dependent), • Growth opportunity as the company scales, • Flexible work structure for the right candidate
