Assistant to Executive Vice President THE ORGANIZATION: The American Institute of Architects New York State is a 10,000-member State Component of the American Institute of Architects, a 501c6 organization representing the practice of architecture through legislative, education and communication initiatives. We are in downtown Albany, New York in beautiful modern offices with nearby paid parking. THE POSITION: The Assistant to the Executive Vice President serves as a trusted operational and strategic partner enabling executive effectiveness through high-level coordination, executive workflow management, governance support, and cross-organizational collaboration. This role is responsible for managing priorities, and ensuring seamless execution across board governance, executive initiatives, and leadership operations. This position requires mature sound judgment, discretion, and the ability to manage sensitive matters with diplomacy and confidentiality while cross collaborating with other team members. ESSENTIAL RESPONSIBILITIES: Executive Administration • Serve as the primary strategic support partner to the Executive Vice President., • Assist with staff team meetings and follow up action items., • Manage and optimize the leadership calendar and priority flow, • Assist in the preparation of executive materials, and decision support documents and maintaining an effective filing system., • Coordinate executive communications and correspondence, • Support executive and leadership travel and external engagements, • Support the preparation and administration of the Scholarship and Honor Awards program., • Executive Committee, BOD and Governance Committee Meetings, • Lead end-to-end logistics and governance support for Board of Directors and Executive Committee., • Coordinate board materials, agendas, and executive packets, • Manage governance documentation and records, • Record and distribute official meeting minutes, • Works with the Membership and Accounting teams to reconcile Board and National event expenses., • Coordinates staff reports to the Board of Directors and the Executive Committee., • Coordinate National events that AIA New York State is involved with., • Performs other office and operational duties as required. EDUCATION and Experience: • At least two years of college, preferably in a business program., • 2 years supporting C-suite or senior executives required, • Experience supporting board governance strongly preferred, • Association or nonprofit executive office experience preferred SPECIAL KNOWLEDGE, SKILLS, and ABILITIES • Understanding of Bylaws, relevant policies, and procedures., • Advanced knowledge in Microsoft Office Suite and online survey tools. Excel and PowerPoint experience required., • Works extremely well with others, understands the importance of collaboration and teamwork in a small work environment, • Ability to work efficiently under pressure/deadlines., • Ability to organize and plan activities, as well as set priorities., • Ability to make decisions, render judgments, and take appropriate actions., • Ability to secure information and solve problems., • Excellent attention to detail and follow through., • Ability to travel to board meetings and other events as needed., • Prior experience with AMS/Fonteva, Constant Contacts and digital Board Management software is preferred. Compensation and Benefits: $56,000 per year plus excellent employee benefits package including a rich health insurance plan, and a generous 401(k); major holiday and vacation times.
