ABOUT THE ROLE The Manager, Real Estate & Workplace Operations supports the day-to-day management, administration, and coordination of WellMed Optum Florida’s real estate and facilities portfolio. This role serves as a key operational partner to the Head of Real Estate & Facilities and works closely with the Facilities Manager and Construction Project Manager – Special Projects to create a coordinated, internally managed real estate and workplace organization. The Manager will have primary responsibility for lease and portfolio administration, landlord coordination, vendor and consultant management, reporting, documentation, and cross-functional coordination. The role will also assist with construction, facilities, signage, security, relocations, consolidations, and other portfolio initiatives by ensuring the right internal and external teams are connected and deliverables are tracked through completion. A key objective of the position is to build internal knowledge, processes, and capabilities that allow the organization to progressively reduce its reliance on third-party administrative and management services while maintaining specialized external resources where they provide value. WHAT YOU’LL DO Real Estate & Lease Administration • Maintain and organize leases, amendments, critical dates, notices, landlord information, obligations, and other portfolio documentation., • Serve as a primary point of contact for routine landlord communication, coordination, and follow-up., • Track renewals, expirations, assignments, closures, consolidations, relocations, landlord and tenant obligations, and other real estate activity., • Partner with the organization’s lease administration provider while developing the internal processes and knowledge necessary to bring more lease administration activities in-house over time, ultimately utilizing third-party support primarily for systems and technology., • Maintain accurate portfolio data and provide reporting and visibility into upcoming real estate actions, risks, and decisions. Facilities & Workplace Operations • Partner with the Facilities Manager, who will provide technical facilities expertise and oversight across the portfolio., • Serve as an operational liaison between clinics, internal stakeholders, the Facilities Manager, and the integrated facilities management provider., • Coordinate and track work orders, recurring facility issues, service requests, escalations, vendor activities, and outstanding actions., • Assist with vendor performance management, reporting, documentation, and portfolio-wide facilities initiatives., • Help develop internal processes and capabilities that allow the organization to strategically reduce the scope of the integrated facilities management provider over time. Construction, Special Projects & Vendor Management • Partner closely with the Construction Project Manager – Special Projects on renovations, relocations, clinic improvements, decommissions, and other capital and special projects., • Assist with project coordination, including schedules, documentation, budgets, vendor activities, action items, and cross-functional communication., • Coordinate between project management consultants, contractors, vendors, clinic leadership, IT, security, branding, facilities, and other internal teams., • Support vendor sourcing, selection, contracting, and performance management in partnership with the Construction Project Manager – Special Projects., • Help develop the internal processes, vendor relationships, and portfolio knowledge necessary to progressively bring more vendor selection, project coordination, and construction management activities in-house and reduce reliance on external consultants., • Coordinate portfolio-wide initiatives such as signage, security, branding, facility upgrades, and other special projects. Portfolio Management & Operational Controls • Develop and maintain portfolio trackers, dashboards, vendor information, landlord and property-management contacts, project documentation, and reporting., • Establish clear ownership, schedules, deliverables, and follow-up across real estate, facilities, construction, and workplace initiatives., • Maintain visibility into open work orders, projects, lease actions, vendor activities, budgets, and portfolio priorities., • Support budgeting, forecasting, invoice review, purchase orders, contracts, and vendor performance reporting., • Identify opportunities to eliminate duplication, improve processes, reduce third-party scope, and bring appropriate functions in-house., • Develop standardized procedures and documentation to create consistency and accountability across the portfolio., • Provide regular portfolio updates and escalate risks, delays, cost concerns, and operational issues as appropriate. WHAT YOU’LL BRING Required Qualifications • 7+ years of experience in corporate real estate, lease administration, workplace operations, facilities coordination, project management, property management, or a related field., • Experience supporting a multi-site portfolio., • Working knowledge of commercial leases, landlord relationships, facilities operations, construction/project coordination, and vendor management., • Strong organizational and project-management skills with the ability to manage multiple priorities simultaneously., • Experience coordinating consultants, contractors, landlords, vendors, internal stakeholders, and senior leadership., • Strong financial and business judgment with experience supporting budgets, contracts, invoices, purchase orders, and vendor scopes., • Ability to create structure, processes, documentation, and accountability in a fast-moving environment.
