Job Description Job Summary A large, multi-specialty medical practice in northern New Jersey is seeking a detail oriented Purchasing Assistant to support our supply chain operations. You will order medical supplies and equipment in accordance with our practice's clinical and administrative needs, research and evaluate vendors, track orders, maintain accurate records (dates, invoices and discounts), and help ensure that our inventory remains well stocked. This role requires a strong understanding of supply chain procedures, cost analysis and market trends, along with hands on experience using purchasing software and advanced Excel skills. Experience working in a medical practice or healthcare procurement is essential. Key Responsibilities • Monitor stock levels of medical and administrative supplies and identify purchasing needs., • Research and qualify potential vendors and suppliers, focusing on those experienced in medical products., • Prepare and process purchase orders; track orders through delivery to ensure timely arrival and resolve delays., • Maintain accurate records of orders, including dates, vendors, quantities and discounts in procurement databases., • Conduct market research and cost analyses to identify pricing trends and secure the best value for the practice., • Negotiate pricing and contract terms with suppliers and review vendor agreements for compliance and savings., • Liaise with warehouse and clinical staff to ensure all products arrive in good condition and meet safety and quality standards., • Ensure purchasing activities comply with healthcare regulations (e.g., HIPAA, OSHA) and internal policies., • Medical procurement experience - at least 2 years supporting purchasing in a hospital, clinic or large medical practice., • Proven experience as a Purchasing Assistant, Purchasing Officer or similar role., • Working knowledge of supply chain procedures and inventory management in a healthcare environment., • Proficiency with purchasing software and advanced Microsoft Excel skills., • Familiarity with regulatory requirements for medical supplies and pharmaceuticals., • Strong negotiation skills and the ability to analyze vendor offers., • Associate's or Bachelor's degree in Business Administration, Supply Chain Management, Health Services Administration, or a related field (equivalent combination of education and medical procurement experience will be considered). Desired Skills • Certification in supply chain or materials management (e.g., CMRP, CPPO)., • Knowledge of medical terminology, devices and pharmaceuticals., • Experience with cost reduction initiatives in a healthcare setting.
