Job DescriptionCorporate Compliance Coordinator Position: Corporate Compliance Coordinator Employment Type: Full-Time Shift: Day Shift Schedule: Monday-Friday Hours: 8:00 AM-5:00 PM Position Overview Our Client is seeking a highly organized and detail-oriented Corporate Compliance Coordinator to support and coordinate corporate and regulatory compliance activities across applicable federal, state, and local jurisdictions. The position is responsible for coordinating and maintaining regulatory requirements involving licenses and permits, brand and product registrations, regulatory filings, regulatory renewals, compliance documentation, regulatory monitoring, audits and inspections, corrective-action tracking, and annual Corporate Compliance Training. The Corporate Compliance Coordinator will maintain centralized compliance calendars and tracking systems, monitor regulatory deadlines and developments, prepare and coordinate required documentation, follow up with internal departments and regulatory agencies, and escalate significant compliance matters to management. Key ResponsibilitiesLicenses, Permits & Regulatory Renewals Coordinate applications, renewals, amendments, and maintenance of applicable federal, state, and local licenses and permits. Maintain a centralized inventory of Our Client's licenses, permits, registrations, certificates, and regulatory approvals. Track expiration dates, renewal requirements, filing deadlines, fees, and required supporting documentation. Prepare routine applications, renewal packages, and supporting documentation for management review. Coordinate required signatures, notarizations, certificates, bonds, payments, and other supporting materials. Follow up with regulatory agencies regarding pending applications, renewals, deficiencies, and requests for additional information. Maintain current copies of licenses, permits, and approvals in an organized and readily accessible manner. Brand & Product Registration Coordinate state-specific brand and product registration requirements. Prepare and submit registration and renewal documentation as required. Maintain a state-by-state Brand Registration Tracker. Monitor expiration and renewal requirements. Maintain supporting product, supplier, distributor, and regulatory documentation. Track pending registrations, approvals, deficiencies, and additional information requests. Coordinate with Sales, Purchasing, Marketing, Accounting, and other departments to obtain required information. Regulatory Filings Coordinate required regulatory filings and maintain filing schedules. Prepare required information and supporting documentation. Track submissions, confirmations, approvals, amendments, corrections, and outstanding filings. Maintain records demonstrating timely completion of required postings and filings. Follow up with responsible departments regarding information necessary for timely submission. Regulatory Monitoring, Research & Compliance Tracking Monitor applicable federal, state, and local regulatory developments affecting assigned Our Client operations. Research new and changing regulatory requirements under management direction. Maintain a Regulatory Change Log identifying potentially applicable requirements, jurisdictions, effective dates, required actions, responsible departments, and implementation status. Prepare summaries of relevant regulatory developments for management review. Identify regulatory deadlines and communicate applicable requirements to responsible departments. Coordinate implementation and documentation after management determines the appropriate response. Escalate matters involving legal interpretation, significant regulatory exposure, potential violations, or substantial operational impact to the HR and Administration Manager. Regulatory Areas Examples of regulatory areas to be monitored may include: Alcohol Beverage Regulations Brand & Product Registration Distributor/Wholesaler Licensing Warehouse Licensing & Permits Food Distribution Requirements State & Local Food/Health Requirements Business Licenses & Local Permits Corporate Registration Requirements Regulatory Reporting New-State/New-Market Requirements These examples are not intended to be all-inclusive. Corporate Compliance Calendar & Matrix Develop and maintain a centralized Corporate Compliance Calendar. Track licenses, permits, registrations, price postings, filings, audits, inspections, training requirements, and other recurring compliance obligations. Maintain a state-by-state compliance matrix identifying requirements, regulatory agencies, deadlines, status, responsible departments, and documentation locations. Provide advance notification of upcoming compliance deadlines. Follow up with responsible departments regarding outstanding requirements. Compliance Documentation & Record Maintenance Maintain organized electronic and physical Corporate Compliance records. Maintain applications, approvals, licenses, permits, registrations, filings, agency correspondence, certificates, training records, and supporting documentation. Support applicable document-retention requirements. Maintain current compliance procedures, checklists, process maps, and supporting documentation. Support the development and maintenance of Corporate Compliance SOPs. Ensure records are organized and readily retrievable for management, audits, inspections, and regulatory requests. Support document control and version maintenance for assigned compliance materials. New State / New Market Compliance Support regulatory research when Our Client plans to conduct business, distribute products, establish operations, or introduce regulated products in a new jurisdiction. Identify potential licensing, permitting, registration, brand-registration, pricing, filing, reporting, and bonding requirements. Prepare jurisdiction-specific compliance checklists for management review. Coordinate required applications and supporting documentation once requirements have been confirmed. Track requirements through completion. Maintain records of regulatory approvals and ongoing requirements for future renewals and reporting. Compliance Authority & Escalation The Corporate Compliance Coordinator is responsible for the coordination, monitoring, tracking, research, preparation, documentation, maintenance, and follow-up of assigned Corporate Compliance activities. The position is expected to identify potential compliance concerns and promptly escalate them when appropriate. The Corporate Compliance Coordinator is not responsible for independently providing legal advice or making final legal interpretations. Matters involving significant regulatory exposure, potential violations, legal interpretation, substantial financial or operational risk, or other significant compliance concerns must be escalated to the HR & Administration Manager and/or appropriate Our Client leadership or professional advisors. QualificationsEducation Bachelor's degree in Business Administration, Compliance, Legal Studies, Regulatory Affairs, Finance, Human Resources, Public Administration, or a related field preferred. An equivalent combination of education and relevant professional experience may be considered. Experience 2-4 years of experience in corporate compliance, regulatory compliance, licensing/permits, regulatory affairs, legal administration, paralegal/legal assistant work, or a similarly regulated business environment. Experience with multi-state regulatory requirements, government agencies, licensing, filings, or food/beverage distribution is preferred. Knowledge, Skills & Abilities Strong organizational and document-management skills. High level of accuracy and attention to detail. Ability to manage multiple regulatory deadlines and competing priorities. Strong follow-up and project-coordination skills. Ability to conduct regulatory research and summarize information clearly. Ability to maintain confidential and sensitive business information. Strong written and verbal communication skills. Ability to communicate professionally with regulatory agencies and internal stakeholders. Ability to work independently while recognizing matters requiring escalation. Strong Microsoft Excel, Word, Outlook, and general business-technology skills. Ability to develop and maintain calendars, matrices, trackers, reports, and compliance documentation. Strong analytical and problem-solving abilities. Ability to work collaboratively across multiple departments and organizational levels. Physical Requirements Ability to remain seated at a desk and work on a computer for prolonged periods. Ability to communicate by telephone, video conference, email, and in person. Ability to operate standard office equipment. Ability to move throughout office and operational areas as required.
