Job DescriptionWe are looking for a dedicated Facilities Assistant to join our team in New York, New York, on a long-term contract basis. In this role, you will support daily office operations, ensure the upkeep of facilities, and assist with various administrative and maintenance tasks. This position requires a proactive and detail-oriented individual who can manage multiple priorities effectively. Responsibilities: • Maintain production equipment by stocking paper trays, performing unit calibrations, and coordinating service technician calls., • Execute printing, binding, and other document-related tasks, ensuring all work orders meet quality standards and client expectations., • Review produced materials to ensure branding guidelines and disclaimers are accurate, while packaging deliverables appropriately., • Handle mail and package processing, including receiving, distributing, and meeting shipping deadlines., • Ensure the office is clean and organized, including maintaining common areas such as conference rooms, pantry, lobby, and elevator spaces., • Perform regular maintenance tasks, such as cleaning refrigerators, brewing coffee, and restocking supplies while monitoring inventory levels., • Assist with light assembly tasks, including installing fixtures, hanging artwork, and replacing lightbulbs., • Support office events through preparation, execution, and cleanup efforts., • Manage vendor relationships and coordinate service requests through the building ticketing system., • Gain familiarity with AV infrastructure and assist with troubleshooting conference room equipment and video conferencing tools.• At least 1 year of experience in printing and shipping operations., • Strong communication and interpersonal skills, with the ability to collaborate effectively., • Excellent organizational and time management abilities to handle multiple tasks and meet deadlines., • Proficiency in using office equipment and facilities machines., • Basic knowledge of AV infrastructure and conference room technology., • Familiarity with computerized maintenance management systems (CMMS) and Kronos Timekeeping System., • Working knowledge of Office applications and related tools., • Self-motivated with a strong work ethic and attention to detail.
