Job DescriptionLOCATION : NEWARK, NJ Hours are 9-5 Position Summary This is a full-time, onsite role requiring five (5) days per week in the office. The position provides high-level administrative and operational support to the Director & CEO, ensuring the smooth and effective functioning of the executive office and related governance activities. Working with Board of Trustees is a plus as is coming from non for profit Key Responsibilities • Manage the Director & CEO's calendar, meetings, travel, and daily schedule, • Provide comprehensive administrative support and help manage priorities, • Serve as the primary liaison with internal and external stakeholders, • Prepare correspondence, briefing materials, reports, and presentations, • Track projects, deadlines, and follow-up items, • Coordinate communication and logistics with the Board of Trustees, • Support preparation and logistics for board and committee meetings, including materials and notes, • Maintain organized records, files, and governance documentation, • Manage budgets, expenses, and reimbursement processing, • Support special projects and organizational initiatives, • Ensure confidentiality, professionalism, and discretion at all times, • Assist with office operations and process improvements as neededQualifications, • Bachelor's degree preferred, • Minimum 10 years of senior-level executive administrative or operations experience, • Strong experience supporting executive leadership and working with boards, • Excellent organizational, communication, and relationship-building skills, • High level of discretion and professionalism, • Ability to manage multiple priorities in a fast-paced environment, • Proficiency with office and collaboration technology, • Willingness to occasionally work evenings or weekends, • Interest in arts, science, or mission-driven organizationsPay Details: $50.00 to $60.00 per week Search managed by: Tracy Galarza Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
