Job DescriptionSalary: 65000 GOAL: The HR Specialist for Benefits and Compliance plays a critical role in ensuring that employee benefit programs are effectively administered and that the organization remains compliant with all applicable labor laws, regulations, and internal policies. This role bridges employee support with regulatory oversight, helping maintain a healthy, fair, and legally sound workplace. REPORTS TO: Director, People Operations EMPLOYMENT STATUS: Non-Exempt ADMINISTRATION OF BENEFITS • Manage employee benefits programs including health, dental, vision, life insurance, retirement plans, and employee wellness initiatives., • Assist employees with benefits enrollment, eligibility questions, and claims resolution., • Has 1-2 years of experience with benefits carriers such as Anthem, Guardian, Admin America, • Serve as point person and coordinate with external vendors and carriers to ensure smooth benefit operations., • Ensure smooth employee open enrollment., • Conduct benefits orientation for new hires and annual open enrollment sessions., • Maintain accurate records of benefits elections and changes., • Ensure benefits, eligibility and legal disclosures are handled properly., • Coordinate deductions, retirement contributions, and tax compliance., • Support compliance training (e.g., harassment, HIPAA, benefits plans), • Experience managing retirement plans - 403(carriers such as OneAmerica) COMPLIANCE OVERSIGHT • Ensure HR policies and procedures align with federal, state, and local employment laws (e.g., FMLA, ADA, HIPAA, COBRA)., • Assist with processing Leave of Absences relating to FMLA, disability, and other types of leaves, • Monitor and file compliance reports with regulatory agencies., • Conduct internal audits of HR practices and documentation., • Investigate and resolve compliance issues, including workplace incidents and leave management., • Develop and deliver training on compliance topics such as harassment prevention, anti-discrimination policies, wage and hour laws, code of ethics, conflict of interest and others as listed in the Employee handbook., • Review and update related benefits and compliance policies and ensure employee acknowledgement., • 3 to 5 years of experience in overall HR functions, with a focus on benefits and compliance, • Strong knowledge of employee benefits and HR compliance regulations., • Proficiency in HRIS systems and Microsoft Office Suite, ADP, Bamboo, Salesforce, • Proficiency in Microsoft Excel (pivot tables, VLOOKUP, formulas) for benefits cost analysis, compliance audits, and trend reporting, • Understanding of platforms that support OSHA, HIPAA, and EEOC reporting., • Familiarity with retirement plans 403b, worker compensation, FMLA, medical leave policies., • General knowledge and basic experience of HR Operations; recruitment, employee relations, training, and performance management, as they intersect with benefits and compliance. SKILLS AND COMPETENCIES: • Clear verbal and written communication with the ability to explain complex benefits and compliance policies in simple terms., • Detail-oriented with strong organizational and analytical abilities., • Strong listening skills and effective understanding of diverse employee needs and perspectives with sensitivity., • Skillful at handling sensitive issues such as health benefits, leave, or workplace complaints with compassion and empathy., • Maintains discretion and ethical standards in all interactions with discretion and confidentiality., • Trusted to manage private employee data and sensitive compliance matters., • Ensures accuracy in benefits documentation, compliance reporting, and policy enforcement, catches inconsistencies or errors that could lead to legal or financial issues., • Navigates complex regulations, finds practical solutions, and resolves employee benefit issues and compliance concerns efficiently., • Effective at adapting and responding to evolving laws, benefit trends, and organizational changes. EDUCATION • Bachelors degree in Human Resources, Business Administration, or related field., • Professional certifications (e.g., SHRM-CP, PHR) are a plus. PHYSICAL DEMANDS: • Will require some light lifting, • Must be willing to travel, as job requires HOURS: 8 hours per day for a total of 40 hours per week. 3 days in the central office and 2 remote workdays.
