Role Summary We are seeking a highly organised and detail-oriented Business Support Manager to support the smooth running of the business. This is a hands-on role covering client procurement processes, financial administration (including invoicing), technology and systems management, people operations, commercial operations governance, and logistics for internal and client events. The ideal candidate is structured, calm under pressure, and able to manage multiple priorities with clarity and professionalism. They take pride in strong process discipline, reliable execution, and operational efficiency. This role is a hybrid position, with the requirement to be in the Insight222 London office at least once a week. Key Responsibilities Procurement & Client Onboarding Administration • Manage client procurement processes, including completing vendor registration and onboarding forms., • Chase and track purchase orders from client teams, ensuring timely receipt and accuracy., • Collaborate with internal teams (IT, Finance, Sales/CS) to complete client security questionnaires, compliance forms, and supplier assessments., • Upload and maintain documentation in client procurement portals., • Keep procurement-related records organised and up to date. Financial Operations • Prepare and issue client invoices accurately and on time., • Track accounts receivable and flag overdue payments or payment risks., • Monitor cashflow and operational spending with structured monthly reporting., • Manage expenses, credit card reconciliations, reimbursements, and general financial admin., • Support budgeting inputs, monthly financial reporting, and operational forecasting., • Manage the end-to-end recruitment process: drafting job descriptions, posting roles, screening candidates, scheduling interviews, and coordinating with hiring managers., • Maintain recruitment trackers, documentation, and templates to support an efficient hiring process., • Ensure a professional, positive candidate experience from application to offer., • Prepare monthly payroll inputs and maintain accurate employee and benefits records., • Support onboarding and offboarding workflows, ensuring correct setup of systems, access, and documentation., • Serve as administrator for systems including HubSpot, Xero, SharePoint, and project tools., • Maintain clean, accurate data structures and support user adoption across teams., • Act as the internal owner of HubSpot governance — managing workflows, permissions, fields, templates, and general configuration., • Troubleshoot HubSpot issues and support team members with system usage., • Manage software licences, renewals, and tech procurement., • Liaise with external IT providers as needed. Event Logistics Support (In partnership with the Event Lead) • Support logistics for client-facing events and internal company events, including meetings, offsites, and roundtables., • Assist with venue research and booking, catering, printing, stationery, materials preparation, and shipments., • Coordinate restaurant bookings, travel arrangements, attendee lists, and event-day logistics., • Liaise with client administrative teams on access requirements and schedules., • Ensure all materials and equipment are prepared and delivered on time. Skills & Experience Must Have • 3–6 years in business operations, finance operations, project coordination, or similar roles., • Strong organisational skills with exceptional attention to detail., • Experience managing client procurement processes or compliance documentation., • Comfort managing invoicing, accounts receivable, and financial reporting., • Experience coordinating recruitment processes and managing candidate pipelines., • Experience supporting logistics for internal or client-facing events., • Strong stakeholder management and calm, clear communication style., • Hands-on HubSpot experience (highly preferred)., • Experience with Xero, SharePoint, or other operational tools., • Background in consulting, professional services, or event-heavy environments., • Experience improving processes or implementing new workflows. Salary • £40,000–£50,000 per annum depending on experience What Success Looks Like • Smooth, timely invoicing and clear visibility of payments due., • Reliable client procurement and commercial operations processes., • Well-governed HubSpot data, workflows, and dashboards., • A polished recruitment process and excellent candidate experience., • Organised people documentation and accurate payroll inputs., • Strong logistical support for internal and client events., • Clean, well-maintained operational systems and documentation., • A calm, dependable presence supporting the business day to day.
