    Part-Time Business Operations & Marketing Assistant Hybrid – Ealing, London | Approximately 2 days per week Berenice London is a growing luxury bespoke wig company based in Ealing, London. We are looking for a highly organised, proactive and tech-confident Business Operations & Marketing Assistant to work closely with our founder and help keep the day-to-day organisation of the business running smoothly. This is a varied role within a small, growing business. It would suit someone who loves organisation, systems, customer communication and taking responsibility for making sure things actually get done. You will work directly with the founder and coordinate with our existing team, including our social media/content team and external digital marketing partners. What you'll be helping with Customer communication & administration • Monitoring and organising customer emails, • Responding to routine customer enquiries in a warm and professional way, • Making sure new enquiries and leads are followed up, • Flagging important enquiries that require the founder's personal attention, • Keeping customer information accurate and up to date in Zoho, • Helping manage customer communications throughout their journey with us, • Sending and coordinating appropriate client updates, • Helping with invoices and monitoring customer payments CRM & automations • Taking day-to-day ownership of our GoHighLevel CRM, • Manually maintaining customer tags and ensuring customers enter the correct follow-up journeys, • Monitoring existing automations and identifying anything that needs improving, • Helping review, rewrite and organise automated customer emails, • Coordinating technical GoHighLevel changes with our external digital team, • Checking that leads and customers are not falling through gaps Calendly & appointments • Taking ownership of our Calendly system, • Managing availability, appointment types and booking journeys, • Helping with cancellations and rescheduling, • Making sure automated appointment communications are accurate and working properly Business & client operations • Helping maintain an organised overview of active customer orders, • Keeping track of important stages, deadlines and customer updates, • Helping make sure information moves correctly between consultations, customer records and production, • Helping coordinate routine communication with suppliers and external team members, • Keeping track of outstanding jobs and making sure they are followed through, • Helping develop simple systems and processes as the business grows Marketing coordination • Working alongside our existing social media/content team member, • Helping plan marketing priorities and newsletter ideas, • Keeping newsletters and marketing activities moving on schedule, • Making sure the founder records planned Instagram/video content, • Coordinating with our external advertising, CRM and SEO partners, • Helping monitor leads, bookings and sales conversions, • Producing a simple overview of marketing performance so we understand what is generating enquiries and customers, • Helping identify improvements needed across our website and customer journey The person we're looking for You do not need to be a senior manager or have years of management experience. We are looking for someone who is: • Extremely organised, • Proactive and good at noticing what needs doing, • Comfortable taking ownership of tasks and following them through, • Tech-confident and comfortable learning new systems, • Excellent at written English, • Warm and professional when communicating with customers, • Able to work independently, • Comfortable coordinating with different team members and suppliers, • Good at keeping track of lots of small moving pieces, • Happy working closely with a founder in a small business, • Confident reminding and chasing the founder when something is needed!, • Interested in improving systems rather than simply completing individual tasks Experience with CRM systems, email marketing, GoHighLevel, Zoho or Calendly would be an advantage, but experience with every platform is not required. Being organised, intelligent, proactive and willing to learn is more important to us. The role Part-time – approximately 2 days per week We envisage this being a hybrid role, with approximately one day per week working with us in Ealing and the remaining time working remotely. There may be an opportunity for the responsibilities and hours to grow over time. The postholder will help ensure that communal areas, estate grounds, facilities and equipment are clean, safe, secure and well maintained. The role also involves identifying and reporting repairs, supporting contractors working on the estate and maintaining positive working relationships with residents and colleagues. The duties listed below are not exhaustive. The postholder may be required to undertake other reasonable duties that support the effective and safe operation of the estate. Main Responsibilities Estate Cleaning and General Care • Ensure estate cleaning frequencies and standards are maintained as directed by the TMO / Estate Manager., • Clean and wash communal areas, including staircases, entrances and other shared spaces., • Clean communal windowsills, glass doors and other accessible communal surfaces., • Remove graffiti where appropriate and report more serious incidents to the Manager., • Carry out litter picking across estate grounds, grassed areas and shrub beds., • Sweep estate areas, pathways and other communal external spaces., • Grit pathways and other areas during icy or hazardous weather conditions., • Ensure estate roads, paths and communal areas are kept clean and free from avoidable hazards., • Undertake general internal upkeep of residential blocks. Grounds Maintenance • Maintain estate grounds to a good standard., • Cut grass and maintain lawned areas., • Tend to shrubs, hedges, flowerbeds and planted areas., • Clear leaves and other garden waste., • Keep external communal spaces tidy, safe and presentable.
