Job Description National Society of High School Scholars (NSHSS) is seeking a highly organized, outgoing, and versatile individual to fill the role of Events and Tours Coordinator to support the Senior Manager and Manager of Events and Tours roles. This role will be assisting with the planning and execution of all NSHSS Events (both in-person and virtual), Academic Tours, and Events for the newest programming audience of NSHSS, the “Young Scholars National Honor Society,” to engage middle school-aged students and families. The Coordinator will maintain a working knowledge of the complex needs of multiple tours and events and also support cross-departmental areas of need, as necessary. Ongoing Key Responsibilities & Tasks: EVENT MARKETING & TICKET PURCHASE MANAGEMENT • Coordinate with marketing team and events team to build out attendee marketing strategy for each NSHSS and Young Scholar’s event, • Create, proofread & edit dynamic email marketing campaigns to meet event registration goals, • Schedule email campaign deployment, • Write, proofread & edit all NSHSS event landing pages on the NSHSS website, • Monitor event ticket purchases; accommodate ticket transfer requests & refunds accordingly, • Monitor the shared RSVP email inbox and provide responses accordingly, • Coordinate with NSHSS social media team to plan engaging content to meet event registration and post-event recap goals, • Craft appropriate event marketing copy to address both students and parents respectively about upcoming event opportunities, • Promptly report all event-related expenses and provide monthly expense reconciliation support EVENT SUPPORT, WRAP UP, & VOLUNTEER MANAGEMENT • Participate in event name badge prep and supply gathering before each event, • Attend new event venue site visits, alongside the Manager and Senior Manager, • Attend and execute all NSHSS events, • Lead event contributor orientation efforts once participation is confirmed (i.e. speakers, panelists, award recipients), • Lead volunteer outreach to confirm NSHSS member & parent volunteers to help staff each event, • Set up and execute NSHSS virtual webinars, using the Zoom platform, • Create materials pull request lists for our fulfillment center to ship needed materials to/from events, • Create and revise event programs, QR codes for promo flyers, additional signage as needed, • Create event staff task reference materials for all staff contributing onsite at each event, • Assist Manager with promptly developing post-event recap pages on the NSHSS website (including event photos, attendee testimonials, etc.) for all NSHSS events, • Promptly report all event-related expenses and provide monthly expense reconciliation support *Current event locations include but not limited to Los Angeles, New York City, Austin, Florida, and Atlanta ACADEMIC TOUR MARKETING, ENROLLMENT, and CORRESPONDENCE • Nurture and maintain relationships with active contributing NSHSS tour partners and vendors, • Proofread and provide edits as needed to all Academic Tour landing pages on the NSHSS website, • Monitor the shared Tours email inbox and provide responses accordingly, • Coordinate with marketing team and Tours Manager to outline Tours marketing strategy – email and social media strategies, • Assist with tracking and management of all Tours enrollments, • Follow Tours preparation SOPs to ensure all participants are ready for travel – assist with pre, post,, • and real-time tour participant communication, • Serve as secondary point of contact to NSHSS tour partners and vendors, • Attend and execute assigned Academic Tours, both domestic and international, • Assist Manager with promptly developing post-tour recap pages on the NSHSS website (including tour photos, attendee testimonials, etc.) for each academic tour, • Promptly report all tour-related expenses and provide monthly expense reconciliation support *Current tours – (2) Ivy League University tours, (1) California College Tour, and (1) Nobel Week Tour in Stockholm, Sweden Qualifications/Skills: • Highly developed self-directed organizational and interpersonal skills required, • Excellent communication skills, both verbal & written required, • Event/meeting-planning experience required, • Must be passionate about travel; experience executing events in varied locations necessary, • 4-year bachelor’s degree, • Digital marketing training and/or experience and experience revising back-end copy to web pages preferred, • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Teams required, • Proficiency working in Adobe InDesign or any other graphic design software preferred, • Experience setting up and running Zoom Webinars (or similar web-based platforms) preferred, • Experience engaging and programming for students, ages: 11-14 & 15+, and parents preferred, • This is NOT a remote position, willing to report to an in-person office setting Company DescriptionNational Society of High School Scholars is an international honor society.
