Job Summary The Payroll Administrator plays a key role in ensuring accurate, compliant, and timely payroll and benefits processing for QB Energy’s employees. This position supports both the Human Resources and Accounting teams by maintaining the integrity of employee data, ensuring regulatory compliance, and identifying opportunities to improve efficiency. As part of a lean, high-performing HR function, the Payroll Administrator must be detail-oriented, proactive, and comfortable operating with both autonomy and collaboration. This role also supports system administration for the HRIS and helps streamline processes that enhance employee experience. Essential Duties & Responsibilities Payroll Administration: • Process and manage all payroll transactions, including salaries, bonuses, deductions, benefits, and taxes., • Ensure accurate and timely payroll processing in compliance with company policies and federal, state, and local regulations., • Maintain and audit employee records, ensuring data integrity across systems., • Partner with Accounting to reconcile payroll accounts and assist with month-end and year-end close activities., • Prepare, review, and distribute payroll-related reports and respond to auditor and management requests., • Support benefit plan administration including enrollments, life event changes, COBRA, and terminations., • Process and audit benefit-related payroll deductions to ensure accuracy., • Oversee and maintain the HRIS for accuracy, functionality, and security., • Provide training, guidance, and support to system users., • Identify and recommend process and system improvements that enhance efficiency and accuracy., • Develop and maintain recurring and ad hoc reports for HR, Accounting, and leadership., • Partner with HR leadership to enhance payroll and benefits processes for scalability and compliance., • Contribute to HR and company-wide initiatives aimed at improving employee engagement and operational efficiency. Education: · Bachelor’s degree in accounting, Business Administration, Human Resources, or related field required. Experience & Skills: · Minimum 6+ years of progressive payroll experience, preferably in a multi-state environment. · Experience in the oil and gas industry or similar field preferred. · Extensive knowledge of payroll functions, wage and hour laws, and tax reporting. · Strong proficiency in payroll and HRIS systems (e.g., Paylocity, ADP, or similar) and Microsoft Office Suite. · Demonstrated ability to manage sensitive data with integrity and discretion. · Strong analytical skills with a high level of accuracy and attention to detail. · Effective communication and interpersonal skills with the ability to partner cross-functionally. · Self-starter who thrives in a lean, fast-paced environment and takes ownership of results. Professional Certification: · Certified Payroll Professional (CPP) or Certified Payroll Specialist (CPS) strongly preferred. Final offer amounts are determined by multiple factors, including candidate experience and expertise, and may vary from the range listed above. Candidates currently residing in locations outside of daily commuting distance will be considered, however, it is the expectation that the selected individual will be available at the work location. Work Environment: This position operates in an office environment. This entails working inside an office space wherein employees may be provided a public workstation (cubicle) or private office. From time to time, the role will require field visits where exposure to extreme weather conditions, fumes, airborne particles, vibrations, dust, electrical charges and other unforeseen exposures may be encountered. Physical Demands: In the performance of the duties and responsibilities of this job, the employee is required to have visual acuity to operate a motor vehicle and view a computer terminal for prolonged periods of time. While at work sites, the employee will be expected to walk and stand. Individuals might be asked to climb, balance, stoop, kneel, crouch, reach, and/or crawl. Individuals might be required to lift, carry, push, or pull up to 50 lbs. in the performance of this position. Position Type and Working Hours: This is a full-time position. Core work hours are from 8:00 a.m.– 5:00 p.m. Monday – Thursday, and 8:00am – 12:00pm on Friday. Employees must be capable and willing to work overtime as required and to participate in occasional meetings, events, seminars, conferences, or other activities outside of typical work hours. Employees responsible for project operations are expected to monitor and, in some cases, respond to emails, calls, or texts outside of business hours. Travel: Occasional travel to work site locations may be expected. Overnight stays may be required from time to time for training, seminars, field visits, or visits to onsite locations.
