Our mission is to enable individuals and families to reach their full potential in body, mind, and spirit, using evidence-based counseling and educational services. Services offered by WTCG include individual therapy, Cognitive Behavioral Therapy (CBT), Cognitive Processing Therapy (CPT) and Eye Movement Desensitization and Reprocessing (EMDR) for trauma, premarital counseling, couples and family counseling, veteran services, children's play therapy, and anger management. Position Overview The Billing Specialist plays a key role in ensuring the financial accuracy and integrity of the organizations billing operations. This position is responsible for processing medical and Employee Assistance Program (EAP) claims, verifying client insurance coverage, posting payments, and assisting with credentialing activities for providers. The ideal candidate will demonstrate strong attention to detail, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment. This position requires effective communication and problem-solving skills to work collaboratively with clients, clinicians, insurance representatives, and administrative staff. The Billing Specialist reports directly to the QA & Billing Supervisor and is part of the billing team, which works in collaboration with intake specialists, quality assurance staff, and the finance department to ensure accurate and efficient billing processes. The billing, intake, quality assurance, and finance teams collaborate with leadership staff to support organizational operations. Regular and timely attendance is required. Key Responsibilities Billing and Claims Processing • Process medical and EAP claims accurately and in a timely manner., • Verify and pre-authorize insurance coverage for clients., • Bill fees for services to insurance and other payer entities., • Review claims for accuracy., • Post all client receipts and insurance payments promptly., • Manage account balances and follow up on unpaid claims or denials., • Contact insurance companies to resolve claim issues and rejections., • Process client statements and follow-up on outstanding balances. Credentialing Support • Prepare and file documents required for counselor paneling and credentialing., • Track and maintain re-authorization and re-credentialing dates., • Follow up with Insurances regarding provider credentialing status Administrative and Team Support • Collaborate with intake staff and clinicians to ensure accurate billing information., • Communicate effectively with clients regarding outstanding balances and refunds., • Maintain compliance with HIPAA and other federal and state billing regulations., • Assist with special projects and perform other duties as needed. Qualifications • High school diploma or equivalent required; Associates degree in accounting, business, or healthcare administration preferred., • At least two (2) years of experience in medical billing and collections preferred., • At least two (2) years of experience in insurance verification and benefits coordination., • Working knowledge of ICD-9, ICD-10, and HIPAA compliance., • Experience with claim denials, rejections, payment posting, and Electronic Remittance Advice (ERA)., • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and billing software/EHR systems., • Must successfully pass a comprehensive background check. Knowledge, Skills, and Abilities • Strong attention to detail and accuracy in data entry and recordkeeping., • Excellent written and verbal communication skills., • Ability to work independently and as part of a collaborative team., • Ability to communicate clearly and professionally with clients, staff, and insurance representatives., • Strong problem-solving and analytical abilities., • Excellent organizational skills with the ability to prioritize tasks and meet deadlines., • Skill in using office equipment and software efficiently., • Ability to maintain confidentiality and handle sensitive information appropriately.
