The Center currently has over 75 staff working at five facilities across San Diego County. POSITION SUMMARY Under the direction of the Quality Assurance Manager, the Quality Assurance Specialist provides essential operational and technical support to ensure the Quality Assurance department functions efficiently and meets all deliverables. This position focuses on executing departmental processes, maintaining accurate databases and electronic health record systems, preparing reports, and ensuring readiness for site visits and audits. Responsibilities include tracking and verifying data quality, monitoring performance objectives, providing direct technical assistance to staff, compiling program data for grant proposals, and assisting with training initiatives. The Specialist works closely with the QA Manager and department leadership to identify and resolve data-related issues, implement process improvements, and maintaining compliance with contract requirements. The ideal candidate has strong technical skills, an understanding of operational systems and social service programs, and a commitment to accuracy, efficiency, and effective outcome measurement. PRIMARY ROLES & RESPONSIBILITIES: Data Management • Maintain data accuracy and completeness by running reports, providing feedback to staff, importing and entering data as needed., • Oversee timely and precise data entry across The Center's databases, with a primary focus on Apricot., • Identify missing or incomplete information, provide technical assistance to staff, collect and input missing data, and communicate gaps to leadership., • Conduct quality assurance reviews of client case files, ensuring all required documents and case notes are complete., • Uphold HIPAA compliance and data security best practices, safeguarding client information in all formats and communications., • Monitor program and contract deliverables, reporting successes and challenges transparently to leadership., • Send monthly reminders to staff to meet reporting deadlines and maintain data quality., • Support staff during internal and external audits and site visits., • Collaborate with supervisors and direct reports after program monitoring to address findings and implement improvements through additional training and technical assistance., • Compile and prepare data to meet the requirements of funding agencies and internal leadership requests., • Track and report on outcome achievement for Center departments, both internally and externally., • Partner with the Grants department to provide accurate data and program outcomes for proposals and reports., • Submit all required reports accurately and on time., • Contribute to organizational performance improvement initiatives by advising on data queries, definitions, inclusion/exclusion criteria, and reporting schedules., • Support departmental needs for data organization, goal tracking, and funder communications., • Foster a collaborative team environment through open communication, cooperation, and problem-solving., • Assist in designing data tracking systems for new grants or contracts., • Develop measurable, realistic annual program outcomes., • Education/Experience:, • High school diploma or equivalent (associate or bachelor's degree in data science or related field preferred)., • Professional Skills:, • Experience with data entry and data quality review in a database or reporting system., • Strong attention to detail and accuracy in work products., • Ability to manage multiple priorities and meet deadlines., • Strong written and verbal communication skills., • Commitment to confidentiality and adherence to data privacy standards., • Other Skills:, • Ability to work independently and collaboratively as part of a team, • Alignment with the organization's mission and values, including fostering a welcoming and inclusive environment., • Education/Experience:, • Experience with data management systems, preferably Apricot or similar case management/EHR platforms, • Professional Skills:, • Strong analytical skills with the ability to interpret and present data clearly, • Strong attention to detail and accuracy in work products., • Familiarity with contract compliance and grant reporting requirements, • Other Skills:, • Ability to work independently and collaboratively as part of a team., • Alignment with the organization's mission and values, including fostering a welcoming and inclusive environment., • Ability to troubleshoot databases or reporting issues and provide user support., • Collaborative approach, with experience working across departments and with diverse stakeholders., • Compensation: The pay range for this position is $25.39 - $27.34 an hour and is commensurate with experience. This is a Full-Time Regular Non-Exempt position.
