Job Description Spark Electric is seeking a highly motivated, self-starter individual to manage our office and provide support to the c-suite. We are a tight-knit team looking for someone to support our daily operations. A strong background in construction operations is a plus. The Office Manager will manage the day-to-day business activities of the CEO and COO. The role is an influential support position, acting as a key liaison among staff members and between the executive team and external partners and acting as spokesperson for the executive team in their absence. Responsibilities focus on providing executive-level administrative support to the executive team while developing and maintaining organizational systems to ensure the office runs effectively and efficiently. The Executive Assistant must demonstrate the ability to handle confidential information with discretion. As Office Manager, this role will set the tone for the look, feel, and ambiance of our beautiful event facility and office space. Office Manager Duties: • Calendar Management: Managing and organizing the executive's schedule, scheduling appointments, and coordinating meetings., • Travel Arrangements: Booking flights, accommodations, and transportation, and preparing itineraries., • Communication: Answering and screening phone calls, responding to emails, and acting as a point of contact for internal and external stakeholders., • Document Management: Organizing and maintaining files, preparing reports, and managing confidential information., • Meeting Support: Preparing meeting materials, taking minutes, and coordinating logistics., • Expense Reports: Assisting with the preparation and submission of expense reports., • Office Operations: Overseeing the day-to-day operations of the office, ensuring a smooth and efficient work environment., • Vendor Management: Coordinating with vendors for office supplies, equipment maintenance, and other services., • Facility Management: Ensuring the office space is well-maintained and addressing any facility-related issues., • Policy Implementation: Assisting in the development and implementation of office policies and procedures., • Staff Support: Providing support to other administrative staff and assisting with onboarding new employees., • Project Coordination: Assisting with special projects and initiatives as needed., • Strong organizational and time management skills: Essential for managing multiple tasks and priorities., • Excellent communication and interpersonal skills: Crucial for interacting with executives, colleagues, and external contacts., • Proficiency in Microsoft Office Suite: Required for document creation, data management, and communication., • Discretion and confidentiality: Important for handling sensitive information and maintaining confidentiality., • Problem-solving and decision-making skills: Needed to address issues and find solutions in a timely manner. Must be able to distinguish between urgent and non-urgent issues and multi-task on a continuing and consistent basis, • Communication: Excellent written and verbal skills are required. Must be self-motivated and self-reliant requiring minimal supervision. Communicating effectively across all levels of the organization and being a team player is crucial. peaking two languages is a plus and not required, • Driving: Ability to drive a vehicle, possess a valid driver's license, and have an acceptable driving record MINIMUM QUALIFICATIONS: • EDUCATION Minimum of a two-year college degree., • EXPERIENCE - 5+ years successful experience working with executive-level staff; outstanding organizational and administrative skills. Previous experience as an office administrator, operations manager, executive assistant, or administrative assistant., • EQUIVALENCY- In lieu of a two-year college degree, one year of professional experience in business administration will serve as an equivalency to one year of education., • CERTIFICATION(S) - none, • PHYSICAL REQUIREMENTS- Viewing of a computer screen for extended periods with hand/wrist manipulation to operate a keyboard. Ability to stand and walk for up to 8 hours. Ability to generally balance, stoop, kneel, or crouch. Ability to lift/move up to 50 lbs.
