Job DescriptionJob Title: Lease Administrator III Remote Shift: Day | Monday-Friday | 8:00 AM - 5:00 PM Overview The Lease Administrator III is responsible for interpreting, abstracting, managing, and administering a diverse portfolio of commercial real estate leases across an enterprise-level healthcare system. This role supports both owned and leased properties and requires strong technical expertise in lease administration, financial analysis, and compliance. The position also provides mentorship to junior staff and contributes to process improvement initiatives. Note: This role focuses on commercial lease administration - not residential or property management. Key Qualifications • Strong commercial real estate experience (office, medical, retail, or industrial), • Lease administration expertise (not property management), • In-depth knowledge of lease structures: Base Year, Gross, and Triple Net (NNN) leases, • Proven experience conducting CAM and NNN reconciliations/audits, • Ability to calculate and apply: CPI increases, • Rent escalations and other scheduled adjustments, • Lease options, ROFR, ROFO, renewal and expansion rights, • Insurance provisions and compliance requirementsCore Responsibilities, • Review, interpret, analyze, and abstract commercial lease documents, including amendments, options, assignments, purchase agreements, and related legal instruments., • Abstract leases using standardized protocols and maintain accurate data within the lease administration system., • Track and notify stakeholders of critical lease dates (commencements, expirations, renewals, options)., • Determine landlord vs. tenant financial responsibilities and establish recurring payables/receivables., • Ensure compliance with physician lease regulations and internal compliance policies., • Manage estoppel certificates and SNDA requests in coordination with Legal., • Maintain lease files, vendor documentation, and system workflows; identify and resolve missing or incomplete records., • Coordinate timely payment of base rent, CAM, NNN, and other operating expenses., • Audit landlord statements, resolve billing discrepancies, and ensure contractual compliance., • Calculate and implement CPI increases, escalations, late fees, and interest charges., • Manage security deposits, tenant improvement allowances, and lease close-out processes., • Process Certificates of Insurance and ensure compliance through internal risk systems., • Serve as liaison with landlords, tenants, vendors, Finance, and Legal teams., • Maintain accurate lease administration system records and supporting documentation., • Produce lease abstracts, portfolio reports, rent rolls, and ad hoc analyses for leadership., • Analyze floor plans, stacking diagrams, and rentable vs. usable square footage in accordance with BOMA standards., • Identify data discrepancies and maintain accurate space and cost reporting., • Support special projects including market data analysis, space planning, portfolio reporting, and NPV analysis., • Assist with system integrations and reporting tools (e.g., financial systems, dashboards, real estate databases)., • Recommend and implement process and system enhancements to improve accuracy and efficiency., • Mentor and train team members on lease administration processes and systems., • Bachelor's degree required (equivalent experience accepted in lieu of degree), • 5+ years of recent, relevant commercial lease administration experience, • Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) and AdobeBenefit offerings include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and 401K plan.
