Position Summary: We are seeking a professional and highly organized Office Coordinator to serve as the first point of contact for visitors and callers, while ensuring the smooth day-to-day operations of the office. This role requires a dependable individual with excellent communication skills, strong attention to detail, and the ability to adapt to a wide variety of responsibilities. The Office Coordinator will support multiple departments and play an integral role in maintaining a positive, efficient, and professional office environment. Key Responsibilities: • Manage all incoming and outgoing mail, including opening, date stamping, uploading, distributing, and preparing mailings and packages., • Index and organize correspondence for proper tracking and recordkeeping., • Answer and direct incoming calls through the main phone line; respond to general information requests., • Maintain and update office calendars to support scheduling needs., • Monitor and maintain office supplies and ensure the office remains tidy and organized., • Coordinate office meetings, including arranging logistics, ordering meals, and preparing meeting spaces., • Plan and organize office events and celebrations., • Provide onboarding support to Human Resources for new employees., • Offer general office and administrative support as needed across departments. Qualifications & Competencies: • Prior experience in an office coordinator, administrative assistant, or front desk role preferred., • Strong organizational skills and ability to manage multiple priorities in a fast-paced environment., • Excellent verbal and written communication skills with a professional and welcoming demeanor., • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office systems., • Dependable, adaptable, and proactive in anticipating office needs.
