Administrative Assistant – AWM Leadership Assistant (Shared) Location: Dallas, TX Pay Rate: $29/hour Contract Duration: 6 Months Job Summary We are seeking a highly organized and proactive Administrative Assistant to support senior leaders within the Asset & Wealth Management division. This role is ideal for a professional who thrives in a fast-paced, collaborative environment and can effectively manage multiple priorities while maintaining a high level of professionalism and confidentiality. The Administrative Assistant will partner closely with executives, business leaders, and fellow administrative professionals to ensure seamless coordination of calendars, meetings, travel logistics, expenses, and day-to-day operational support. The ideal candidate will demonstrate excellent judgment, strong communication skills, attention to detail, and the ability to adapt quickly to evolving business needs. Key Responsibilities Administrative & Business Support • Serve as a trusted administrative partner supporting multiple executives and teams as needed., • Provide day-to-day administrative and operational support, including document preparation, filing, scanning, records management, time entry, invoice processing, and ad hoc projects., • Proactively manage complex and dynamic calendars across multiple time zones., • Coordinate internal and external meetings, conference calls, and video conferences while prioritizing scheduling requests effectively., • Act as a primary point of contact for scheduling communications and high-volume phone interactions., • Coordinate onsite and offsite meetings, including conference room bookings, catering arrangements, guest registrations, and meeting materials preparation., • Arrange domestic and international travel, including flights, hotels, transportation, and visa coordination when required., • Prepare and submit expense reports accurately and on time using approved expense management platforms., • Handle highly confidential business and client information with discretion and professionalism., • Ensure compliance with company policies, procedures, and approval requirements., • Prior experience providing administrative support to executives or senior professionals in a complex, fast-paced environment., • Experience within financial services, corporate, government, or professional services environments preferred., • Excellent interpersonal, verbal, and written communication skills., • Strong organizational skills with exceptional attention to detail and follow-through., • Ability to multitask, prioritize effectively, and remain calm under pressure., • Demonstrated professionalism, integrity, discretion, and diplomacy., • Proactive, adaptable, and dependable team player with a positive attitude., • Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Zoom., • Familiarity with expense management systems such as SAP Concur preferred.
