Job Title: Construction Coordinator FLSA: Non-Exempt Department: Development Reports To: Manager, Development Support Location: Maywood, New Jersey General Purpose of Job/Summary The Construction Coordinator will support the Construction team, assisting team members with a broad range of responsibilities including construction, tenant coordination, and administrative duties. This role requires a detail-oriented, organized professional who can work independently and collaboratively with internal and external stakeholders at all levels (including CEOs), maintain confidentiality, and adapt quickly to changing priorities and procedures. The coordinator will contribute to the execution of multiple construction projects, and sales, while managing schedules, budgets, reporting, and supporting strategic initiatives. Essential Duties and Responsibilities • Answer telephones, assist callers, take accurate messages, and provide needed information; coordinate with other admins for coverage and arrange conference calls. Organize and reply to email messages; manage calendar, schedule meetings, and maintain contacts within Outlook., • Scan, file, and organize documents; oversee document retention for the division., • Draft contracts, follow up with contractors and architects for necessary documents, and prepare contracts for attorney review., • Process contracts, change orders, invoices, Broker Commissions, Tenant Allowance, mail, new vendor requests, and other documents., • Interact with outside consultants (architects, engineers, attorneys, contractors), tenants, tenant consultants, and internal departments (Leasing, Legal, Lease Administration, Property Management, Accounting)., • Read and understand documents related to planning, entitlement, and construction of new developments and redevelopments; interact with utility companies., • Read and understand Lease documents and prepare tenant notices., • Track Tenant Construction budgets and maintain Tenant Construction reports., • Offer general support to Construction department., • Efficiently plan, organize, budget, schedule, and execute assigned tasks; manage multiple assignments and priorities with contingency plans., • Maintain a professional manner in all interactions. Job Qualifications Education/Experience • Bachelor’s degree or suitable demonstrated experience., • 3–5 years’ experience in an administrative support role, real estate accounting, construction support, and/ or project administration required. Experience in project administration at an owner/developer strongly preferred by not required., • Strong Microsoft office skills (Excel, Word, Outlook, PowerPoint), • Knowledge of MRI, Nexus and Chrome River preferred Knowledge, Skills, and Abilities: • Knowledge of MRI, Nexus and Chrome River are not required but highly preferred., • Knowledge of project management skills and experience with cross-functional collaboration., • Ability to quickly learn and apply new information and systems., • Ability to perform under pressure and manage workload during high-demand periods., • Ability to be self-motivated, independent, and detail oriented., • Skilled in problem-solving and critical thinking., • Skilled in written and verbal communication., • Demonstrate integrity, fairness, and sound judgement in all professional interactions.
