We are seeking a seasoned, highly accomplished Corporate Office Manager to lead daily operations at our Addison, TX corporate headquarters. This is one of the most visible and high-impact roles in the organization — serving as the operational hub that connects corporate leadership, all regional offices across the country, vendors, franchise owners, and external partners. The right candidate is a credentialed leader who brings executive presence, sound judgment, and the organizational authority to manage complex, multi-stakeholder environments with confidence and professionalism. POSITION SUMMARY The Corporate Office Manager owns two interconnected functions at the corporate level: leading the day-to-day operations of Jani-King’s headquarters and managing all travel and event logistics for executives, operations staff, and nationwide certification training programs. This role directly supervises a team of administrative and facilities staff, holds authority over vendor contract negotiations, and serves as the primary point of contact for the company’s hotel and rental car partners. This position carries significant organizational influence. You will interact daily with corporate executives, Regional Directors, regional office staff, and external stakeholders across the country — representing the standards, culture, and professionalism of Jani-King International in every interaction. What success looks like: Every executive travels with a complete, accurate itinerary. Every certification class runs flawlessly. Every vendor delivers on contract. The office operates at a standard that reflects the Jani-King brand — and every person who interacts with this role experiences competence, warmth, and reliability. KEY RESPONSIBILITIES Team Leadership & Supervision • Direct Team Leadership: Manage, develop, and hold accountable the Receptionist, Administrative Coordinator, Backup Receptionist, and Maintenance Technician — setting clear expectations, providing ongoing coaching, and ensuring consistent coverage and quality., • Culture & Standards: Model and reinforce Jani-King’s professional standards across the office environment, ensuring headquarters reflects the quality of the brand for all visitors and staff., • Executive & Corporate Travel: Manage all travel for corporate executives, operations staff, training participants, and Regional Directors — flights, hotels, ground transportation, and group logistics., • Certification Class Management: Primary coordinator for all franchise owner certification classes — complete booking process, welcome gifts, confirmation letters, itineraries, and dress code communications., • Hotel Partner Management: Main contact and relationship owner for Spring Hill Suites Addison — contract negotiations, preferred rates, guest issues, and all charges billed to Jani-King., • Convention Planning: Lead the full convention planning process — site visits, venue evaluation, contract negotiations, and primary planner throughout execution., • Staff Events & Annual Christmas Party: Design concept and theme; select venue; negotiate contracts; approve catering and entertainment vendors and costs., • Vendor Authority: Own vendor selection, rate negotiation, contract management, and performance oversight across all office service categories — landscape, pest control, plumbing, electrical, coffee services, appliances, supplies, furniture, fire safety, and equipment., • Invoice Processing & Oversight: Review and process invoices for all office utility and service accounts at Addison and Denison., • Staff Communications & Recognition: Birthdays, anniversaries, new hires, terminations; annual gift selection; 10-, 20-, and 30-year anniversary recognition., • Executive Gifts: Select, purchase, and distribute executive gifts with appropriate judgment and discretion., • Office Systems & Communications: Manage phones and voicemail; maintain regional contact lists and RD information; manage parking assignments., • Publications & Internal Communications: Edit and distribute monthly newsletters, manuals, and company materials to corporate and regional audiences. Experience & Education • Minimum 7–10 years of progressive office management, operations management, or executive administration experience, with at least 3–5 years in a senior or leadership capacity in a corporate environment, • Demonstrated track record managing complex, high-visibility operations with multiple simultaneous priorities and stakeholder groups, • Prior experience in corporate travel coordination, large-scale event or convention planning, and vendor contract negotiation required, • Experience working directly with or in support of C-suite executives and senior leadership teams, • Proven supervisory experience; ability to set expectations, develop staff, and hold a team accountable to performance standards, • Background managing multi-location or multi-site office operations a strong plus, • Organizational Authority: Leads with influence across functions — gaining alignment and cooperation from teams who do not report directly to you, including corporate departments, regional offices, and external partners., • Executive Presence: Polished, professional, and credible with C-suite executives, Regional Directors, visiting franchise owners, and external vendors — always representing Jani-King at the highest standard., • Judgment & Discretion: Trusted with sensitive organizational information, personnel matters, and executive communications; exercises sound judgment and maintains strict confidentiality., • Cross-Functional Relationship Management: Skilled at building strong working relationships across a large, geographically dispersed organization — corporate departments and regional offices nationwide., • Expert-level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); corporate travel booking platform experience required, • Exceptional organizational and project management skills — complex, long-horizon projects alongside daily operational responsibilities, • Strong written communication skills; produces polished correspondence and communications at an executive level, • Highly self-directed — identifies what needs to be done and does it without waiting to be asked ???? The role carries significant organizational visibility and requires a consistent, high-standard professional presence at all times. Primarily office-based with occasional off-site visits for vendor meetings or event site inspections. Some light physical requirements include managing supplies and occasional lifting up to 20 lbs.
