Job Overview: Pharmaron is seeking a professional and personable Administrative Assistant to join our team. As the first point of contact for visitors, vendors, and employees, you will play a vital role in creating a positive and welcoming environment. This position supports a variety of administrative and purchasing functions that help keep our operations running smoothly. We're looking for someone who thrives in a fast-paced environment, enjoys providing exceptional customer service, and takes pride in maintaining organization and efficiency across the office. Key Responsibilities: • Greet and assist all visitors with professionalism and warmth, ensuring a positive first impression of the company., • Manage incoming calls and emails, directing inquiries to the appropriate personnel in a courteous and timely manner., • Support administrative operations by preparing documents, maintaining records, and assisting with internal communications., • Coordinate deliveries, vendor visits, and office maintenance requests., • Issue and track purchase orders for supplies, ensuring timely delivery and quality standards., • Research and communicate with vendors to identify cost-effective purchasing options., • Monitor inventory of office and laboratory supplies, and ensure adequate stock levels., • Support internal events, meetings, and special projects as needed., • Maintain visitor logs, issue badges, and uphold facility security protocols., • Collaborate with cross-functional teams to streamline administrative and purchasing workflows., • High school diploma required; additional administrative or business coursework preferred., • 1–3 years of experience as a Receptionist, Front Office Coordinator, or Administrative Assistant in a professional setting., • Strong interpersonal skills and the ability to build positive relationships with staff, vendors, and guests., • Excellent verbal and written communication skills., • Highly organized with strong attention to detail and the ability to manage multiple priorities., • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and general computer literacy., • A proactive attitude, with the ability to anticipate needs and take initiative.
