This is not a traditional Executive Assistant role. This position is best suited for someone who thrives in a fast-paced, high-touch, highly relational environment where communication, responsiveness, anticipation, and operational support are critical to the success of the business. The Founder is deeply involved in client relationships, business development, creative direction, and day-to-day operations. This role serves as the connective tissue behind the scenes — ensuring information flows quickly, priorities stay aligned, and nothing falls through the cracks. The ideal candidate is proactive, highly organized, emotionally intelligent, tech-savvy, and energized by supporting a high-performing founder and luxury brand environment. What You'll Own Executive Support + Communication Management • Manage complex calendar scheduling with strong attention to timing, logistics, and priorities, • Monitor and manage inbox communication throughout the day with urgency and discernment, • Draft responses and communicate professionally on behalf of the Founder, • Act as a trusted communication hub between the Founder, clients, vendors, internal team members, and external partners, • Track action items, follow-ups, and ongoing conversations to ensure continuity and responsiveness, • Help protect the Founder's time, energy, and focus Real-Time Operational Support • Process and organize a high volume of fast-moving information throughout the day, • Communicate proactively and consistently to ensure alignment on priorities and next steps, • Anticipate needs and solve problems before they become issues, • Support both business and select personal logistics as needed, • Assist with travel coordination, scheduling, errands, appointments, reservations, and miscellaneous administrative support, • Manage shifting priorities calmly and efficiently in a dynamic environment Business Development + Team Coordination • Support business development initiatives, lead tracking, and follow-up coordination, • Assist with CRM updates, tracking documents, and organizational systems, • Coordinate with operations leadership and team members to ensure projects and communication stay aligned, • Help create operational consistency and improved workflows across the business What Makes This Role Different This role is ideal for someone who: • Thinks quickly and communicates clearly, • Enjoys high-touch support environments, • Is energized by fast-paced, client-facing businesses, • Can manage multiple conversations and priorities simultaneously, • Understands urgency without becoming reactive his is NOT a rigid 9–5 administrative role.
