Early Care and Education Administrative Assistant Role provides support to the Assistant Director of Early Care and Education and members of the Early Care and Education (ECE) Team as well as provides support at the reception desk at United Ways 814 9th Street downtown Greeley address. The Early Care and Education Administrative Assistant supports the work of the ECE team by taking on administrative roles related to: Expanding Quality in Infant and Toddler Care (EQIT) courses, administering the Family Business Solutions (FBS) program, manage data tracking, support meetings, communication, assisting with reports and other general administrative duties. AS appropriate serves to make purchases in accordance with agency protocol to meet the needs of the team. KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS Administrative Support • Support the Assistant Director with tasks such as:, • EQIT: including communication and tracking materials purchased for EQIT, support around registration and coordination with the ADECE to mail course materials to participants., • Support tracking of data related to this course and communication as needed., • Overall Communication Support: phone, e-mail and in-person communication., • Track identified data to help inform the teams progress for general knowledge and grant reporting purposes by the team., • Remain current with childrens issues in Weld County, Colorado, and nationwide., • As needed provide manpower/presence at events related to the ECE team., • Take minutes as needed for Team meetings., • Family Business Solutions business, child care program and child tracking, communication and invoicing., • Other duties as assigned.Financial Administrative Support, • Assist the ECE AD with financial reporting related to credit card purchases., • Maintain inventory or EQIT courses, planning ahead such that items can be purchased in a timely manner to have materials prepped for future courses as appropriate., • Use the FedEx account in such a way as to minimize shipping costs for EQIT and to ship materials in a timely manner., • Provide support in tracking and timely reporting of purchase transactions billed to agency accounts/credit cards.Other Administrative Support, • Remain current with childrens issues in Weld County, Colorado, and nationwide., • As needed provide manpower/presence at community and special events related to the team and/or United Way., • Other duties as assigned.814 Front Desk Receptionist, • Become familiar with United Way programs, events and activities to ensure efficient and effective direction of guests, be they in-person or contacting the organization by phone or email., • Welcome United Way visitors, board of directors, and staff in a professional and courteous manner., • Answer incoming calls and direct calls to appropriate staff., • Receive in-person monetary and in-kind donations as needed., • Work with occasional visitors who are in crisis; direct to staff that can best be of assistance., • Ongoing communication with supervisor regarding any concerns about office operations., • Perform tasks for CEO, Chief Operating Officer, and other departments as assigned., • Open/close office areas.United Way of Weld County General, • Support and promote the mission, values, goals and objectives of United Way, including representing United Way in professional organizations and the community (as assigned)., • Support fundraising efforts of United Way and activities that support United Way., • Support United Way annual events, disaster response, and other activities as assigned., • Participate in staff meetings and in service opportunities., • Mission-Focused: Catalyze others commitment to mission to create real social change that leads to better lives and healthier communities.
