Job DescriptionJob Title: Warehouse & Office Operations Coordinator Job Description The Warehouse & Office Operations Coordinator supports daily operations in a growing solar transportation and maintenance environment by managing a small, temperature-controlled warehouse while also serving as a professional office administrative presence. This hybrid role combines hands-on inventory, shipping, and receiving responsibilities with front-of-office tasks such as greeting visitors, coordinating supplies, and maintaining an organized, welcoming workspace. The coordinator works primarily on a first-shift schedule and plays a key role in ensuring smooth, efficient operations across both warehouse and office functions. Responsibilities • Manage day-to-day operations of a small, temperature-controlled warehouse, ensuring inventory, equipment, and materials are organized and accessible., • Perform inventory control activities, including tracking stock levels, conducting counts, and maintaining accurate records of all incoming and outgoing items., • Order and restock parts and supplies as needed to support ongoing operations and prevent shortages., • Handle shipping and receiving tasks, including preparing shipments, processing deliveries, labeling products, and verifying orders against documentation., • Monitor and document items and personnel entering and leaving the warehouse to maintain security and accurate tracking., • Lift, move, and organize inventory and materials as part of regular physical warehouse activities., • Shift to office support duties during slower warehouse periods, providing a consistent administrative presence at the front of the office., • Greet visitors in a professional and friendly manner, answer the door, and direct guests appropriately., • Order food, office supplies, and other materials to support staff and maintain daily operations., • Stock and maintain shared spaces such as the refrigerator and common office areas to ensure they remain clean, organized, and well supplied., • Support general administrative tasks as needed, contributing to an efficient and welcoming office environment., • Communicate clearly and professionally with internal teams and external visitors, delivering a high level of customer service., • Maintain thorough documentation related to inventory movement, facility access, and other operational records with strong attention to detail., • Balance and prioritize warehouse and office responsibilities, pivoting between tasks based on operational needs., • Demonstrate proactive problem-solving by identifying needs, addressing issues, and taking initiative with minimal supervision., • Provide occasional off-hours support when needed to ensure continuity of operations.Essential Skills, • Hands-on experience with shipping and receiving processes in a warehouse or similar environment., • Practical knowledge of inventory control, including tracking, stocking, and record-keeping., • Ability to manage basic warehouse operations, including organizing materials and maintaining a clean, orderly space., • Experience with warehouse operations and inventory management, including labeling products and processing orders., • Administrative and office coordination skills, including greeting visitors, ordering supplies, and supporting general office tasks., • Strong customer service orientation with the ability to interact professionally with internal staff and external visitors., • Excellent professional communication skills, both in person and over other channels., • Strong organizational skills and attention to detail, especially in documentation and record management., • Proactive, self-starting approach with the ability to identify needs and act without constant direction., • Ability to balance and prioritize multiple responsibilities between warehouse and office functions., • Ability to lift and move inventory and materials as part of a physical role., • Comfort working in a small, temperature-controlled warehouse environment., • Reliable, accountable work ethic with the ability to operate with minimal supervision., • Strong multitasking skills and the ability to pivot quickly between different types of responsibilities.Additional Skills & Qualifications, • Experience with inventory systems or warehouse software is a plus., • Familiarity with office coordination or receptionist-type duties is preferred., • Exposure to or experience in the solar or green energy industry is a plus, but not required., • Comfort working in a modern facility that integrates office, tech, and warehouse spaces., • Ability to provide occasional off-hours support when operational needs arise.Why Work Here? The setting is collaborative, with regular interaction between warehouse, office, and technical staff. The position involves both physical activity in the warehouse—such as lifting and moving inventory—and a professional office presence, including greeting visitors and maintaining shared spaces. The overall environment supports focus, organization, and teamwork in a contemporary, well-maintained facility. Job Type & Location This is a Contract to Hire position based out of Springfield, NJ. Pay and Benefits The pay range for this position is $20.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
