The Executive Assistant (EA) will provide high-level administrative, operational, and strategic support to C-suite executives. This role requires exceptional professionalism, discretion, organizational prowess, and the ability to operate in a fast paced, dynamic, and highly visible environment within a global media and advertising agency across a matrixed organization. The EA will act as a strategic extension of the executive optimizing time, facilitating communication, managing priorities, anticipating needs, and ensuring effectiveness across internal and external engagements. • Manage complex, dynamic calendars across multiple time zones; anticipate needs and proactively identify opportunities to optimize time and impact., • Adapt quickly to last minute changes, ensuring seamless communication and coordination., • Plan and manage extensive domestic and international travel, including visas, itineraries, accommodations, and contingency planning., • Prepare for meetings including agendas, briefings and follow-up actions., • Manage expense reporting, budgets, and vendor relationships with accuracy and confidentiality., • Coordinate strategic initiatives and track progress on key company priorities, ensuring deliverables are met., • Coordinate executive meetings, offsites, town halls, and leadership/client events., • Exceptional organizational and time-management skills with the ability to manage competing priorities., • Strong written and verbal communication skills clear, concise, and professional., • Superior interpersonal and relationship-building skills with the ability to communicate effectively., • High emotional intelligence, discretion, and sound judgment., • Proficiency with productivity tools (Microsoft 365, Teams, Zoom, Concur, etc.)., • Ability to work across cultures and time zones with flexibility and resilience., • Demonstrated ability to manage confidential and sensitive information with integrity., • Bachelor's degree, • Minimum 8+ years of executive support experience, with at least 5 years supporting C-suite executives (preferably in a global role). The annual salary range for this position is $82,800-$110,400. Placement within the salary range is based on a variety of factors, including relevant experience, knowledge, skills, and other factors permitted by law.
