Job Description Job Title: Inventory and Fleet Operations Administrator Department: Enterprise Services FLSA Classification: Non-exempt Reports To: Infrastructure Operations Manager ROLE SUMMARY/OBJECTIVE The Inventory and Fleet Operations Administrator is responsible for accurate tracking, movement, and documentation of serialized IT assets and RMA (Return Merchandise Authorization) activity across Form 10’s national operations. This role serves as the administrative owner of inventory governance in ServiceNow—ensuring chain-of-custody accuracy, timely RMA processing, and audit-ready records—while partnering closely with Field Operations, logistics, and vendors. ESSENTIAL DUTIES AND FUNCTIONS • Monitor, validate and manage ServiceNow cases and asset records that include serialized inventory (validate serial numbers, statuses, locations, and ownership), resolve discrepancies and escalate issues as needed., • Execute inventory movements in ServiceNow to maintain accurate chain-of-custody and auditable history across technicians, offices, warehouses, depots, and vendors., • Initiate and administer RMAs: set RMA status, coordinate shipping documentation, capture RMA numbers, and reconcile repaired/replaced equipment upon return., • Coordinate national inventory flow to support deployments, break/fix, and replacements; partner with regional leadership to prioritize urgent needs., • Investigate inventory discrepancies, missing assets, and data quality issues; resolve when possible and escalate risks promptly., • Generate inventory/RMA reporting to support operational visibility, finance reconciliation, and audit requests., • Maintain SOP (Standard Operating Procedure) adherence and continuously improve inventory governance processes and documentation. Adherence to SOP’s is mandatory. Failure to comply may result in inventory inaccuracies, audit findings, or asset loss., • Manage all inventory movements in ServiceNow, ensuring accurate location, status, ownership, and auditable chain of custody., • Administer RMAs by identifying repair/return needs, coordinating shipments, capturing RMA data, and validating returned or replaced assets., • Coordinate national inventory distribution to support deployments, repairs, and replacements., • Produce inventory and RMA reports and support audits with complete movement and custody records., • Analyze complex data to identify trends, maintain high accuracy in records, and communicate findings with cross-functional teams and management., • Manage the day-to-day operation of the company vehicle fleet (30–40 vehicles), • Serve as the primary point of contact with the fleet provider (Enterprise or similar), • Coordinate vehicle assignments, maintenance, servicing, and replacements, • Track vehicle lifecycle, availability, and utilization across the organization, • Enforce company vehicle policies and ensure employee compliance regarding providing license and personal insurance information to ensure current and valid licenses and proof of insurance is maintained throughout employment for those driving on behalf of Form 10., • Track and monitor usage at the individual driver level., • Maintain accurate records of vehicle assignments, incidents, and compliance., • Identify and address gaps in policy adherence or improper usage., • Track key fleet metrics including utilization, mileage, and cost., • Build and maintain simple, clear reports for executive leadership., • Provide visibility into fleet performance, trends, and cost drivers., • Support budgeting and forecasting efforts related to fleet operations., • Other duties as required or requested. SUPERVISORY RESPONSIBILITIES Does this job have supervisory responsibilities for staff? ☐ Yes ☒ No MINIMUM EDUCATION, EXPERIENCE, AND ABILITIES • 3-5 years of hands-on inventory management experience, preferably in a national or multi-location environment with serialized assets and strict chain-of-custody requirements., • Experience working in ServiceNow preferred, specifically with Inventory, Asset Management, and RMA workflows; ability to accurately maintain asset records, movements, statuses, and documentation., • High proficiency in Microsoft Office, with advanced Excel skills (reporting, data validation, reconciliation, pivot tables, and inventory tracking spreadsheets)., • Strong understanding of RMA processes, including asset repair workflows, return authorizations, vendor coordination, and audit-ready documentation., • Demonstrated ability to maintain accurate, auditable records and support inventory audits, compliance reviews, and leadership reporting., • Exceptional attention to detail with a focus on data accuracy, system integrity, and process adherence., • Strong organizational and time-management skills, capable of handling multiple inventory streams and priorities simultaneously., • Effective written and verbal communication skills, with the ability to work cross-functionally with Field Operations, Service Desk, vendors, and leadership., • Comfortable working as the central administrative owner of inventory governance and system accuracy, independently and with minimal supervision. TRAVEL REQUIREMENTS This position is based at our Tampa HQ office and will not generally travel to other work sites CERTIFICATES, LICENSES, REGISTRATIONS A valid, unrestricted drivers license is required at the time of hire and to be maintained throughout the duration of employment. PHYSICAL DEMANDS: This position will generally perform work at a stationary desk in an office setting. WORK ENVIRONMENT This position is based in the office/warehouse, 5 days a week.
