Westchester Country Club also has two large banquet rooms, conference facilities, member apartments, and guest accommodations. ABOUT THIS OPPORTUNITY We are hiring a full-time Sales & Catering Manager to join our Sales & Catering team. The Sales and Catering Manager is responsible for generating, booking, and executing catering business while maximizing banquet space and revenue to meet or exceed sales goals. This position actively solicits new business, responds to inquiries, conducts site tours, develops proposals and menus, negotiates contracts, and books new and repeat business. The Sales and Catering Manager builds strong relationships with members, clients, guests, vendors, and community partners to drive continued business and maximize event opportunities. From the initial inquiry through the final invoice and thank-you note, the Sales and Catering Manager is responsible for ensuring a seamless and exceptional client experience. This includes coordinating event details, preparing and maintaining accurate banquet event orders, confirming menus, timelines, room setups, guest counts, special requests, and billing information, while maintaining fiscal responsibility and protecting the club’s profitability. The Sales and Catering Manager plays a key role in the day-of execution of events, serving as the primary on-site liaison between the client, banquet team, culinary team, management, and other operational departments. They are present during events to oversee the execution of contracted details, communicate last-minute changes, troubleshoot issues, and ensure that the banquet team and Chef are fully aligned on timing, menu execution, service expectations, dietary requirements, special requests, and client preferences. The Manager works closely with the Chef and banquet team to ensure food and beverage service is delivered according to the agreed-upon menu, presentation, quality, and timing. They collaborate with the banquet team before and throughout each event to review timelines, room setup, service flow, VIPs, special moments, and any changes to the event plan. Catering in a Private Club is a business within a business; therefore, the Sales and Catering Manager must be energetic, detail-oriented, highly organized, and possess excellent interpersonal and communication skills. The position requires the ability to balance sales responsibilities with operational execution while maintaining positive relationships with employees, management, members, and their guests. A genuine passion for hospitality, food and beverage, sales, and flawless event execution is essential. WHAT YOU'LL DO The Sales & Catering Manager must complete all tasks and assignments assigned by the Director of Sales & Catering: • Answer phone and email inquiries., • Handle event inquiries – social, golf outings, corporate, and non-profit galas., • Pro-active sales solicitation through identifying new business to contribute to achieving catering sales budget., • Contribute to meeting goals of annual budget., • Create and maintain relationships with clients to set and exceed client expectations and deliver on those expectations., • Must have the ability to sell high-end events., • Build strong relationships with members and clients by creating an exception event experience through creative and timely communication. Constant follow up and attention to details noted on banquet event order (BEO) and email communications., • Follow SOP formats for all administration catering documents., • Must be energetic, detail-oriented, highly organized, and possess excellent interpersonal and communication skills., • Plan the event in its entirety and assist with the day of event execution., • Assist in the planning of club member special events to include reservations and day of check-in., • Administrate contracts, banquet event orders for all catering/special events., • Create floor plans through Prismm., • Attend weekly banquet event order meeting and speak to all your up-coming events., • Track and receive all deposits., • Ensure that price guidelines are adhered to., • Create menus and assist with menu development with the culinary team., • Keeping up with industry trends., • Must be passionate, enthusiastic, creative, love food and love working with people., • Attend industry events – at times throughout the year., • Assist with the preparation weekly/monthly/annual revenue forecast., • Perform other job-related duties as assigned, with attention to detail and accuracy. WHAT YOU'LL NEED • High School Diploma or equivalent., • Minimum of three years of catering & sales managers experience preferred., • Luxury and high-end venue experience preferred., • Country Club experience preferred not required., • Strong computer skills with aptitude in Word & basic Excel. Delphi & Prismm floor plans experience preferred., • Excellent written and verbal communication skills in English. Ability to speak, read, and write fluently., • Must possess strong communication and listening skills., • Ability to effectively present information in one-on-one and group situations., • Knowledge of the practices and procedures of the catering, food & beverage, and hospitality industry., • Ability to negotiate, influence and sell., • Maintain the highest standards of professional conduct., • Clear and effective written and verbal communication skills with the ability to deliver an appropriate level of detail based on audience in a timely manner and deliver accurate BEOs., • Ability to sell, plan and ensure the highest level of event execution., • Strong prioritization and time management skills., • Ability to work in a fast-paced environment and work under pressure., • Ability to handle sensitive/confidential matters., • Most tasks are performed independently or in a team environment with minimal direct supervision., • Ability to execute objectives within timelines allocated., • Driven individual, self-starter but also a team player., • Flexibility to work nights and weekends, including some holidays, for events. On-site primarily at the Main Club working in a shared team office, as well as being present at most events. At times may be working at our Beach Club location. PAY RANGE $90,000-$100,000 annual compensation, commensurate with experience.
