Job Description Property Management & Real Estate Assistant (with Bookkeeping and Transaction Support) Position Overview: We are seeking a highly organized, detail-oriented Property Management & Real Estate Assistant with experience in property management, bookkeeping, real estate research, and transaction coordination. This role combines the operational side of managing properties with the analytical and administrative skills needed to support acquisitions, sales, and rentals. The ideal candidate will be proficient in Buildium, AppFolio, Monday.com, and have hands-on experience with MLS research, skip tracing, probate research, contract preparation, and e-sign platforms. This is a position for someone who can keep properties running smoothly, maintain accurate financial records, and help close deals efficiently. Key Responsibilities: Property Management Support Manage day-to-day property operations for residential and/or commercial properties. Handle tenant and vendor communications, including scheduling maintenance and inspections. Track lease renewals, rent collections, move-ins, and move-outs. Maintain accurate records in Buildium and AppFolio. Prepare and manage rental disclosure forms and related documentation. Bookkeeping & Accounting Record and reconcile rent payments, deposits, and other income. Process invoices and track accounts payable/receivable. Prepare monthly financial reports for management. Assist with budget preparation and expense tracking. Real Estate Research & Deal Sourcing Conduct MLS research for sales, rentals, and investment opportunities. Perform skip tracing to locate property owners or contacts. Carry out probate research and family tree tracing for potential acquisitions. Analyze potential deals for profitability, market value, and ROI. Transaction Coordination & Documentation Prepare and review U.S. sales contracts, letters of intent, and offer contracts. Complete rental and sales disclosure forms as required. Coordinate e-signature processes via DocuSign and HelloSign. Ensure all contracts, agreements, and disclosures comply with applicable laws and regulations. Systems & Workflow Management Use Monday.com for task tracking, project management, and workflow coordination. Maintain organized digital files for properties, tenants, and transactions. Identify and implement process improvements for greater efficiency. Qualifications & Skills: Required: Experience in property management and/or real estate transactions. Strong bookkeeping skills, preferably in a real estate setting. Proficiency in Buildium, AppFolio, and Monday.com. Skilled in MLS research, skip tracing, and probate family tree research. Knowledge of preparing sales contracts, LOIs, offers, and disclosure forms. Proficiency with DocuSign and HelloSign. Excellent organizational skills with strong attention to detail. Strong written and verbal communication abilities. Preferred: Knowledge of real estate laws, disclosures, and compliance requirements. Familiarity with investment property analysis. Experience working with off-market and distressed property deals. Advanced skills in Excel/Google Sheets for reporting.
