Job Description The Personal, Property & Administrative Manager serves as the owner’s right hand — managing all aspects of personal, business, and property-related operations. This person is the central point of organization and execution, ensuring that tasks are completed accurately, efficiently, and on time without follow-up. The ideal candidate is proactive, resourceful, and highly organized, capable of managing details across multiple businesses and properties while maintaining absolute professionalism and discretion. They listen once, act immediately, and never let things fall through the cracks. Key Responsibilities Administrative & Executive Support • Manage calendars, appointments, travel, and daily priorities., • Draft and send professional correspondence, emails, and communications on behalf of ownership., • Prepare reports, summaries, and updates for active projects, deadlines, and tasks., • Maintain organized digital and paper filing systems (Google Drive, email, records)., • Coordinate all property management duties: maintenance, repairs, vendors, and tenants., • Obtain estimates, schedule work, verify completion, and maintain service records., • Track lease renewals, project deadlines, and maintenance schedules., • Investigate and resolve tenant complaints, • Conduct site visits and errands related to properties and stores as needed., • Communicate with contractors, vendors, and service providers professionally and efficiently., • Ensure all work order and repair requests are processed in a timely fashion, • Enforce property and associations' rules and regulations, • Handle personal errands, appointments, and day-to-day tasks with complete discretion., • Manage deliveries, household vendors, and scheduling., • Maintain detailed task lists, reminders, and project trackers., • Provide consistent updates without being asked., • Create structure and systems to streamline recurring responsibilities., • Extremely organized, detail-oriented, and reliable., • Executes flawlessly with minimal instruction — listens once and follows through., • Self-starter who finds solutions, not excuses., • Excellent communication and writing skills., • Professional, trustworthy, and composed at all times., • Tech-savvy (Google Workspace, Excel, scheduling platforms)., • Flexible and available when needed, including for urgent matters., • Must have valid driver’s license and reliable transportation. Qualifications: • Previous experience in property management or other related fields, • Familiarity with real estate contracts and leases, • Ability to multitask and prioritize, • Excellent written and verbal communication skills
