The role requires strong administrative skills, excellent attention to detail, and the ability to work effectively in a fast-paced international environment.The ideal candidate is proactive, structured, and capable of managing multiple tasks simultaneously while maintaining a high level of accuracy.Key ResponsibilitiesOrder Management & Customer SupportProcess and monitor customer orders from receipt to delivery.Verify order details, pricing, product specifications, and delivery requirements.Coordinate order execution with sales managers and customers.Follow up on order status and provide updates to relevant stakeholders.Maintain accurate order records within company systems.Logistics CoordinationCoordinate shipments with freight forwarders, warehouses, and logistics providers.Monitor inbound and outbound deliveries.Track shipment progress and proactively identify delays or issues.Support preparation of shipping instructions and transport documentation.Assist in resolving logistics-related operational challenges.Documentation ManagementPrepare and review commercial and shipping documentation, including:Commercial InvoicesPacking ListsCertificates of OriginHealth CertificatesExport DocumentationCustomer Documentation PackagesEnsure documentation accuracy and compliance with customer and regulatory requirements.Maintain organized electronic filing systems.Procurement & Supplier CoordinationSupport communication with suppliers regarding orders, deliveries, and documentation.Monitor supplier performance and delivery schedules.Assist in collecting quotations and maintaining supplier records.Coordinate purchasing activities as directed by management.Inventory & Production CoordinationMonitor inventory reports and stock movements.Assist in coordinating production schedules with manufacturing partners.Follow up on production progress and product availability.Support inventory reconciliation and reporting activities.Internal CoordinationAct as a communication link between Sales, Logistics, Finance, and Management teams.Ensure information is communicated accurately and promptly between departments.Support management with operational reporting and administrative tasks.Data Management & ReportingMaintain accurate records in ERP, CRM, and internal systems.Prepare operational reports and performance summaries.Monitor key operational KPIs and provide updates when requested.Assist with data analysis and process improvement initiatives.QualificationsEducationBachelor's degree preferred in:Business AdministrationSupply Chain ManagementLogisticsInternational BusinessEconomicsRelevant work experience may substitute for formal education.Experience1–3 years of experience in operations, logistics, supply chain, customer service, or administration.Experience in international trade or FMCG industries is an advantage.Experience working with ERP systems is preferred.Skills & CompetenciesExcellent organizational and time management skills.Strong attention to detail and accuracy.Ability to manage multiple priorities simultaneously.Strong written and verbal communication skills.Advanced proficiency in Microsoft Excel, Word, and Outlook.Ability to work independently in a remote international environment.Problem-solving mindset and proactive attitude.Strong follow-up and coordination capabilities.Language RequirementsFluent English and Spanish (written and spoken).Additional languages are considered an advantage.What We OfferOpportunity to work in a truly global business operating in over 90 countries.Exposure to international trade, supply chain management, and dairy industry operations.Professional development and career growth opportunities.Dynamic and multicultural work environment.Competitive compensation package. xhfqzwm Fully remote work arrangement with international collaboration opportunities.
