In this role, you will serve as Glow by Hormone University’s customer service as well as providing essential support to our operations, technical, and marketing teams by assisting with a variety of special projects. The ideal candidate is a quick learner with strong organizational skills, a proactive attitude, and the ability to multitask effectively. bThis role requires strong cross-border coordination and cultural fluency, as you will be working across Glow’s operations in the US, Spain, and with international distributors. /b /ppbr/ppbResponsibilities /b /ppbr/ppOperations Management: /pulliConstantly evaluate our current operations, identify inefficiencies, and implement improvements that enhance productivity and reduce manual work. /liliProactively suggest, test, and roll out automation tools or low-cost systems to streamline recurring tasks across customer service, fulfillment, finance, and reporting. /liliUse your working knowledge of digital tools (e.g., Slack, Zapier, Airtable, Google Sheets/Apps Script, Shopify, Klaviyo, 3PL systems, etc.) to solve problems, reduce manual workflows, and integrate platforms for better data flow. /liliTake ownership of operational initiatives that span teams — from improving vendor coordination, to enhancing post-purchase customer journeys, to tightening inventory tracking with the marketing and logistics teams. /liliLay the foundation for operations that can scale with the company’s growth — from documentation, SOPs, dashboards, and operational templates to structured onboarding for future hires. /liliCollaborate closely with the founder and cross-functional leaders to inform strategic planning with operational insights and to ensure the company’s vision is supported by a solid and scalable infrastructure. /liliWork closely with both US and Spain-based teams to align operations and reporting, helping coordinate distributor relationships in international markets. /liliEnsure D2C and retail channel coordination across territories to optimize fulfillment efficiency, data integrity, and product availability. /li /ulpbr/ppManufacturing Support: /pulliAssist in coordinating manufacturing processes, including production scheduling, inventory management, and quality control. /liliCollaborate with manufacturers to ensure timely and efficient production to meet delivery date and address any issues or bottlenecks as they arise. /liliSupport RD and new product development by liaising with contract manufacturers and Glow’s expert advisors in both the US and EU. /liliSupply Chain Management: /liliOwn the search of great manufacturers with RD excellence /liliSupport with supply chain activities, including procurement, logistics, and vendor relationship and management, to optimize inventory levels and minimize lead times. /liliCoordinate with logistics partners to streamline transportation, import / export and distribution processes and ensure timely delivery of goods to customers. /lili Monitor compliance with customs and regulatory requirements for product movement across markets (e.g., EU vs. US packaging and claims). /li /ulpbr/ppData Analysis /pulliMaintain and improve Glow’s management dashboards, reports, and KPIs to track key metrics and performance indicators. Ensure the accuracy and reliability of the data presented as well as ensuring integration of new data from emerging new platforms. /liliAnalyze marketing data, including customer demographics, behavior metrics, and campaign performance data, to extract insights and inform marketing strategies. /liliAlign reporting structures across US and Spain to enable clear visibility and financial forecasting across regions. /liliCoordinate with finance and accounting partners to assist with monthly PL reporting, budgeting, and inventory reconciliation. /li /ulpbr/ppCustomer Service: /pulliRespond promptly to customer inquiries across all sales channels, including email and chat, delivering supportive assistance. /liliProactively track customer satisfaction metrics and proactively address any negative perceptions of the brand by engaging with customers to resolve their concerns and restore confidence. /liliAssist customers with product or service-related questions, troubleshooting technical issues, and resolving complaints or concerns. /liliHandle escalated customer issues or complaints with professionalism and empathy, working to achieve a satisfactory resolution. /liliMaintain a high level of customer satisfaction by ensuring timely and effective resolution of inquiries and issues. /liliMonitor customer feedback and satisfaction levels to identify trends and opportunities for improvement. /liliManage relationships with wholesale and distributor customer service teams to ensure alignment on FAQs, messaging, and problem resolution. /li /ulpbr/ppOther Operational and Technical Support include, but not limited to: /pulliConduct research and analysis to support decision-making and problem-solving efforts /liliPrepare reports, presentations, and documentation related to operational initiatives as needed. /liliGuardian of Glow’s US websites to maintain optimal functionality and integrity, meticulously checking for broken links and ensuring content accuracy and visual consistency, including copy and imagery. /liliProvide technical support and assistance to project teams, including troubleshooting issues and implementing solutions. /liliAssist in the testing and implementation of new software systems, tools, or technologies. /liliCoordinate with tech and design teams in Spain and the US to ensure website localization and compliance. /liliSupport implementation of new B2B integrations (e.g., EDI or retailer portals) with distributors and retail accounts. /li /ulpbr/ppRequirements: /pulliExcellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment. /liliStrong communication skills, both written and verbal, with the ability to interact effectively with team members at all levels. /liliProficiency in Google Docs (Word, Excel, PowerPoint) and project management tools/software. /liliAnalytical mindset with the ability to problem-solve and make data-driven decisions. /liliProactive attitude and willingness to learn and adapt to new challenges and responsibilities. /liliExperience working in a global or multi-market business (ideally with consumer products). /liliComfort navigating both English and Spanish-speaking environments; English language proficiency is a strong plus. /liliExperience coordinating with 3PLs, manufacturers, or distributors preferred. /li /ul
