About the Role Were looking for an office manager to join our administration team. This role will ensure smooth day-to-day operations of the office, including facilities management, vendor coordination, and general workplace upkeep. This role provides executive administrative and scheduling support to the CEO, helping to manage calendars, meetings, special projects, and the board of directors' needs. The Office Manager will also oversee all office vendors, supplies, and processes to maintain an efficient and welcoming work environment. Additionally, they serve as the main point of contact for staff and visitors, supporting both organizational needs and executive priorities. How Youll Have an Impact The applicant hired as our Office Manager/Executive Assistant will be: • Managing the CEOs calendar: schedule meetings, appointments, and hosted meetings; schedule rooms, create agendas, track RSVPs, arrange for refreshments, take and distribute meeting notes, and track action items., • Assisting with Board meetings: schedule and track RSVPs, prepare agenda templates, store archives, manage the Board drive, and distribute meeting materials while providing staff support to the Board of Directors and Board committees, including Zoom meeting and calendar oversight., • Managing daily office operations, including supplies, equipment, and vendor relationships, ensuring a professional, organized, and welcoming environment for staff, guests, and stakeholders., • Overseeing facilities-related needs such as building maintenance, office security, and vetting potential vendors., • Creating slide presentations, managing hybrid meetings, and presentations., • Processing and distributing gift cards for the Program Department in conjunction with the Finance Department., • Ordering office supplies and direct contact for facility management., • Making deposits and logging incoming funds when needed. Agency Support • Participate in agency events: training, fundraising events, and CASA/child activities., • Participating in agency projects and initiatives., • Other duties as assigned by the Chief Executive Officer. What Were Looking For Experience • Minimum education of 2 years of college or equivalent., • At least 5 years of office management, executive support, or administrative leadership., • Non-profit experience or comparable experience., • Demonstrated ability to manage multiple tasks and projects of varying complexity concurrently., • Demonstrated ability to handle sensitive, confidential information., • Demonstrated proficiency in the use of: Google Suite, Zoom, Microsoft Office, and other data management systems., • Demonstrated ability to generate standard reports from databases., • Excellent interpersonal, verbal, and written communication skills., • Demonstrated ability to manage details accurately in a fast-paced organization., • Demonstrated ability to work well as part of a team., • Demonstrated ability to establish effective working relationships with individuals at various levels of responsibility (Board of Directors, community partners)., • Bilingual, preferred.
