This is best suited for an experienced legal assistant who is also comfortable handling travel booking, scheduling, presentations, expenses, and executive-style administrative support. Job Description • Provide high-level legal administrative and executive support to a founding partner, • Coordinate and book flights, hotels, ground transportation, and detailed travel itineraries, • Manage calendars, meetings, appointments, events, deadlines, and scheduling conflicts, • Prepare agendas, gather meeting materials, and assist with virtual and in-person meeting setup, • Format, proofread, and support the creation of presentations and professional documents, • Serve as a primary point of contact for internal and external communications on behalf of the partner, • Handle confidential and sensitive information with discretion, professionalism, and sound judgment, • Maintain organized electronic and physical files, meeting notes, records, and administrative materials, • Open new legal files and perform conflict checks in accordance with firm procedures, • Process expense reports, track reimbursements, and manage administrative follow-up, • Support legal file management, document organization, and related law firm workflow needs, • Assist with special projects and additional administrative support as needed, • 5+ years of experience in a law firm or similar legal environment, • Experience supporting attorneys, partners, executives, or senior leadership, • Strong legal assistant, administrative, scheduling, and document management skills, • Ability to work in the White Plains office at least four days per week, • Advanced proficiency with Microsoft Office, including Word, Excel, PowerPoint, Outlook, and Teams, • Experience coordinating complex calendars, travel arrangements, meetings, expenses, and professional communications, • Strong proofreading, formatting, writing, organizational, and time management skills, • Ability to prioritize multiple tasks in a fast-paced, deadline-driven environment, • Professional demeanor and strong communication skills with internal and external stakeholders, • High level of discretion and ability to handle sensitive information confidentially, • Understanding of legal file procedures and conflict checks preferred, • Products liability, premises liability, or corporate law experience preferred, • You will join a team that values legal support professionals as a key part of the firm's success, • The role offers variety, visibility, and the opportunity to support a founding partner directly, • The firm encourages professional development, continuous improvement, and long-term career growth, • The culture is collaborative, respectful, practical, and focused on shared accountability, • You will work in a modern legal environment that embraces technology, efficiency, and teamwork Benefits: • Dental insurance, • Paid time off, • Retirement plan, • Vision insurance
