Job DescriptionDescription: A.T. Still University's Arizona School of Health Sciences (ATSU-ASHS) is seeking a full-time, non-exempt Administrative Assistant on the Mesa, Arizona campus. The Administrative Assistant is supervised by a Program Manager and supports two academic departments by supporting daily office operations, delivering high-quality customer service to faculty, students, and partners, and maintaining accurate records across academic, financial, and administrative systems. Duties & Responsibilities: • Manage purchasing and reimbursements., • Route contracts for approval within the institution., • Support academic operations such as curriculum logistics, scheduling, and enrollment tracking., • Provide support in planning department events and meetings, communications, and logistics., • By applying strong communication, organization, and technical skills, this position keeps departmental projects moving efficiently and ensures compliance with institutional policies., • Other duties as assigned. Requirements: Skills & Experience: • High school diploma or equivalent required., • Understanding of policies, processes, and organization of departments and institutions., • Understanding of health professions and educational operations., • Understanding and application of computer software, hardware, and digital tools for database entry and management, workflows, information record keeping, basic technology troubleshooting, virtual communication, and collaboration tools., • Knowledge of contract/procurement workflows and basic policy awareness (eg, FERPA, purchasing rules)., • Understanding of budgeting and purchasing processes., • Communication & customer service- Strong verbal, written, and interpersonal communication; rapport and relationship building with colleagues and external partners; fostering trust; promoting collaboration; professionalism; problem resolution., • Technical software, including Microsoft 354, Google Workspace, and specialized software for scheduling, tracking, record management, and learning management systems., • Organization - Maintaining structured plans, schedules, and documentation is key to keeping projects on track and within scope., • Time management - Prioritizing tasks, deadlines, and effectively managing time for oneself and responding to department needs., • Problem solving & critical thinking- for decision making, resource utilization, identifying issues and potential solutions, • Event logistics, basic data reporting, form/workflow tools., • Decision-Making: Making sound and timely decisions based on available information and project objectives.
