Title: School Office Manager Pay: $22.00 - $25.00/hour DOE | Schedule: 7:30 AM – 4:30 PM | Location: San Diego, CA As Nazareth School – San Diego’s School Office Manager, you will oversee day‑to‑day front office operations and provide essential administrative, bookkeeping, HR, and purchasing support. You will supervise the front desk receptionist and serve as a key operational partner to the Principal, helping the school run smoothly and ensuring a welcoming, service‑oriented experience for students, families, and visitors. What You’ll Do • Supervise the front desk receptionist, ensuring professional reception of visitors, timely response to calls/emails, and smooth front‑office workflow., • Coordinate daily administrative operations: student and staff records, mail, filing, correspondence, school calendars, and support for meetings and events., • Perform bookkeeping tasks such as processing invoices, accounts payable/receivable, deposits, and basic reconciliations in alignment with diocesan/business-office procedures., • Provide HR and payroll support, including assisting with onboarding paperwork, maintaining personnel files, tracking required clearances/certifications, and helping monitor timekeeping., • Manage purchasing for office, classroom, and facility needs: request quotes, place orders, track deliveries, and monitor spending within budget guidelines., • Serve as administrative support to the Principal, preparing documents and reports and assisting with special projects and communications., • Maintain confidentiality regarding student, family, and staff information and help ensure compliance with school, diocesan, and applicable state policies. What You’ll Need to Succeed • High School diploma is required; associate or bachelor’s degree in accounting or business administration, human resources, or a related field strongly preferred., • Five or more years of progressively responsible office administration experience, ideally in a school, nonprofit, or similar mission‑driven environment., • Experience leading or coordinating front‑office work, including mentoring or supervising at least one other staff member or volunteer., • Hands‑on experience with bookkeeping and payroll support: accounts payable/receivable, deposits, basic reconciliations, and working with an accountant, business office, or payroll provider., • Proficiency with spreadsheets and office software (e.g., Excel/Google Sheets, Word/Docs, email/calendar platforms); experience with accounting or student information systems is a plus., • Strong organizational and time‑management skills, with the ability to prioritize, meet deadlines, and shift smoothly between administrative, financial, and HR tasks in a busy school office., • Clear, professional written and verbal communication skills, including comfort interacting with students, families, staff, vendors, and diocesan partners., • Demonstrated discretion and judgment in handling confidential student and personnel information., • A collaborative, service‑oriented mindset and the flexibility to pitch in wherever needed to keep the school running smoothly., • Alignment with Catholic school values and a sincere willingness to support and model the spiritual and educational mission of Nazareth School – San Diego.
