Job Description MHA promotes mental health and total wellness for individuals facing challenges associated with mental illness and addiction recovery. MHA is seeking a full-time Administrative Operations Assistant to join our Operations Team! Be a part of the team that makes a difference in the lives of our consumers. A minimum of two years of experience in general office procedures. An understanding of property maintenance. An understanding of basic vehicle mechanics and able to identify major repairs. Knowledge of Microsoft Office and phone systems. Good problem-solving, critical thinking and decision-making skills. Must be able to initiate and manage multiple tasks in a timely and accurate manner. Must be able to clearly communicate verbally and in writing. Must posses a valid NJ Driver's license. RESPONSIBILITIES: OPERATIONS • Maintenance of EXXON and GPS databases, • Maintenance of vehicle files, titles, and registrations, • Coordinate/Drive vehicle repairs with programs as needed, • Prepare vehicles that are being removed or added to the fleet, • Maintain inventory of vehicle safety kit supplies, • Maintain building grounds at Parsippany Office, • Complete monthly inspections of agency vehicles and NJ DMV inspections as requested, • Timely and successful completion of maintenance requests at owned residences, offices and facilities., • Complete weekly Interoffice Mail-Run FRONT DESK COVERAGE, • Answer phones, take messages and direct calls to the appropriate staff., • Greet visitors and announce them to appropriate staff, • Sort and distribute all incoming mail, post all outgoing, • Sending, receiving and distributing fax transmissions, • Ensure all copy machines have paper; troubleshoot error messages coordinate with IT as needed, • Maintain meeting room schedules, • Set up & clean-up for quarterly staff meetings & outside meetings as requested, • Report safety/fire hazards, building repairs to the Director of Operations, • Daily checks of all bathrooms, kitchens, and lobby. Annual Base Rate: 38K Reports to Director of Operations at 1160 Parsippany Boulevard, Parsippany NJ Fully paid medical coverage for eligible staff. Generous 401(k) match. ESSENTIAL FUNCTIONS: • Uphold the YMCA of Montclair commitment to caring for individuals and families, with a focus on youth development, healthy living and social responsibility and basic principles of honesty, integrity, and a sincere commitment to our team members and our members., • Use initiative to interact with teens, fostering a welcoming and safe environment., • Adhere to check in and check out procedures daily with participants., • Ensure smooth transition between activities with participants, • In collaboration with the Teen Department Lead to create and implement program activities with participants., • Familiarity with and ability to implement emergency procedures., • Champion gender and cultural diversity while successfully implementing and monitoring programs., • Engage teens in a friendly and age-appropriate manner and communicate with parents as necessary after a conversation with the Teen Director., • Maintain a safe work environment, free of clutter, debris and hazardous conditions., • Report all accidents and incidents involving self, participants, guests or other employees., • Perform all other duties as assigned., • Adhere to policies related to boundaries with members, volunteers, staff, and participants., • Attend required Abuse Risk Management training and adhere to procedures related to managing high-risk activities and supervising members and participants., • Report suspicious or inappropriate behaviors and policy violations and follow mandated abuse reporting procedures., • Ensure unused rooms and closets remain locked, will routinely monitor high-risk locations (locker rooms and restrooms) etc. LEADERSHIP COMPETENCIES: • CORE Values, • Inclusion, • Quality Results, • Influence, • Communication & Inclusion, • Emotional Maturity QUALIFICATIONS: • HS/GED required., • Must be 23 years of age., • Minimum two (2) years of experience working with teens and planning activities, • Must have a CPR/AED and First Aid Certification OR get certified within 90 days of employment., • Excellent human relations, good organizational and communication skills., • Must be able to follow directions and adhere to policies and procedures. WORK ENVIRONMENT & PHYSICAL DEMANDS: Lifting and moving program equipment up to 50 lbs.
