Position Overview: We are seeking a part-time Human Resources Assistant to join our HR department. This role provides valuable administrative and operational support to the Human Resources Manager and reports directly to this position. The role offers meaningful exposure to a broad range of HR functions within a dynamic school environment. Work hours: three days during the week, approximately 3 to 4 hours each day. It will be a hybrid role, including one day in person a week. Key Responsibilities Documentation and Records • Maintain and update the Staff & Faculty Resources portal, • Keep the Staff List spreadsheet current and accurate, • Track onboarding progress in the HR onboarding tracker, • Ensure personnel files are complete and up to date (resumes, certifications, visa documents, etc.) Onboarding • Conduct reference checks, • Prepare and send onboarding communications to new hires, • Initiate Paycom onboarding workflows, including background checks, • Coordinate with IT to ensure new hires are properly recorded, • Finalize professional biographies, • Coordinate staff photos for ID badges with the Office Manager, • Schedule orientation sessions and notify relevant staff, including reception, • Update Paycom profiles upon completion of onboarding steps Training Coordination • Enroll employees in International Baccalaureate (IB) trainings, • Coordinate CPR/First Aid certifications, • Coordinate Article 43 training requirements, • Track completion of all trainings in the staff list Additional Responsibilities • Ensure compliance with HR policies and procedures, • High school diploma or GED required, • Bachelor’s degree preferred, • Fluency in English, • Strong ability to handle confidential information with discretion, • Excellent organizational skills and attention to detail, • Strong interpersonal and communication skills, • Proficiency with Microsoft Office Suite, • Fluency in French or Japanese is an asset The hourly rate for this position ranges from $25 to $28, depending on qualifications. The role includes eligibility for paid time off and participation in a 401(k)-retirement plan.
