Position: Event Planner - Meeting/Events Management Manager Address: New York, New York Pay Rate: $35-$38/hr Duration: 6 Months ( High chance of conversion) Hours: Early Mornings/ Late Evenings ; weekends; traveling involved (50%-70%) JOB DESCRIPTION Responsible for delivering best in class events and programs for a range of clients inside and outside the firm. Delivering best in class events and conferences to clients and employees.Seeking a highly energetic and forward-thinking Vice President, Meeting Manager. The ideal candidate will have substantial experience in event and conference management. This position requires excellent detail orientation, negotiation, leadership and communication skills. RESPONSIBILITIES • Manage all aspects of the planning process, including but not limited to vendor negotiation, contract administration ( Including controlling risks associated with attrition and cancellation) , hotel management, air and ground travel, total logistics coordination ( Menus, setup, decor, audio visual) Entertainment, activities, team building, temporary staff, input on registration website development, printing, registration management, communications, invoice processing and budget management., • Lead cross functional project teams to execute programming, including complex in-person and virtual/hybrid events that range from 10 to 2,000 attendees., • Demonstrate supportive leadership style, including experience with cross-functional, global and multicultural teams., • Demonstrate ability to work in a fast-paced and flexible work environment, such as changing planning activities and/or multitasking often to meet fluctuating client priorities., • Various administrative tasks such as: invoice processing, scheduling maintenance calls with vendors, registering guests and order office supplies among others., • Deliver event standards at every level., • Manage decisions that maintain integrity around firm procedures, compliance and controls, risk management and independence in vendor relationships while using firm supported tools., • Completes, maintains and updates project timelines, establishes a workflow schedule with client and suppliers to facilitate prompt and accurate handling of all program details., • Drive collaboration with Events & Meetings colleagues to share industry updates, promote best practices, focus on synergies, consistency and foster a culture of innovation, • Operates with a "no surprises" commitment to business partners and stakeholders and is a role model for communication and collaboration., • Provide strategic input and recommendations to business group on event development., • Identify, build and maintain strong relationships with multiple stakeholders of aligned business groups, understanding their practice or industry objectives and help to ensure that service delivery is aligned and fully supports the event goals and firm priorities to ensure successful outcomes., • Support the vendor RFP process, contract negotiations and participate in site inspections. QUALIFICATIONS • 8-10 Years experience in a full- time position as a professional meeting planner or closely related position., • Excellent oral and written communication skills. Ability to deliver messages clearly and succinctly., • Ability to manage projects across business, functions and geographies and to build strong relationships with diverse audiences., • Exceptional client focus and service ethic., • Highly organized, detail oriented, forward thinking, proactive., • Strong analytical and problem- solving skills., • Ability to multitask in a fast-paced environment., • High Degree of professionalism, flexibility, good judgement and discretion., • Strong Sense of ownership and accountability., • Ability to work extended hours, which may include evening and/or weekend event support., • Proficient in Microsoft Office suite including Excel, Word, PowerPoint and Outlook., • 2 Travel to offsite locations up to 50%-70% Dexian is a leading provider of staffing, IT, and workforce solutions with over 12,000 employees and 70 locations worldwide.
