Job DescriptionPrimary Position Objective Provides clerical support and related assigned duties to the Social Development Department. Brief Description of Duties • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics., • Organizes work by reading and routing correspondence; collecting information; initiating telecommunications., • Maintains department schedule by maintaining calendars for department personnel; arranging meetings, conferences, teleconferences, and travel., • Completes requests by greeting students, staff, and guests, in person or on the telephone; answering or referring inquiries., • Maintains student confidence and protects operations by keeping information confidential., • Organizing and servicing meetings (producing agendas and taking minutes)., • Conduct searches to find needed information, using such sources as the Internet., • Coordinate conferences and meetings., • Learn to operate new office technologies as they are developed and implemented., • Manage projects, and contribute to committee and team work., • Prepares reports by collecting information., • Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions., • Provide training and orientation to new staff., • Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications., • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies., • Keeps equipment operational by following manufacturer instructions and established procedures., • Secures information by completing database backups., • Provides historical reference by utilizing filing and retrieval systems., • Maintains technical knowledge by attending educational workshops; reading secretarial publications., • Contributes to team effort by accomplishing related results as needed., • Assists with timecard management and submits within time frame allotted per center policy., • Coordinates activities between departments., • Assists with student pay and student clothing allotments as needed., • Transports students as needed, • Proficiency with advanced Microsoft Office applications including Word, PowerPoint, Outlook, and Excel., • Computer Literacy with basic computer functions, email, internet, and basic programs such as Adobe Acrobat., • High level of communication, interpersonal, and organizational skills., • Extensive knowledge of standard office practices and procedures. Skill in operation of variety of office machines Education High school diploma or equivalent. Associates Degree preferred.
