Job Description Position Summary: This position provides general administrative support to three HBSE senior executives – its Chief Financial Officer, Chief Legal Officer and Head of Real Estate – including scheduling coordination, report processing, travel arrangements, communication, file management, calendar control and other administrative tasks. The position may also support the executives’ respective departments and the Human Resources department from time to time. This position will be based at the Prudential Center in Newark, NJ, though travel to the Philadelphia 76ers’ Training Facility in Camden, NJ will be required on an ad hoc basis. The Executive Assistant must have the ability to multi-task in a fast-paced, high-energy environment, anticipate needs and workflow, and communicate seamlessly with other executives and staff members. He or she must maintain a high level of confidentiality, judgment and discretion due to operating in matters of sensitivity and significance. Responsibilities include, but are not limited to, the following: • Exercising discretion to act as gatekeeper, including managing calendars (for both internal and external appointments), answering and filtering incoming calls and screening incoming emails and information., • Interacting regularly with other company executives and personnel, including other executive assistants., • Performing confidential administrative responsibilities, including attending meetings of the Legal, Real Estate, and Finance departments, • Execute core financial processes, including new vendor and vendor bank account setup, positive pay process, routing of invoices in automated Accounts Payable system, vendor information verification, and monthly bank statement management., • Manage invoice processing by retrieving and inputting invoices into Concur for automated payment vendors (e.g. utilities and healthcare)., • Overseeing legal billing, including intake and reconciliation, • Preparing and editing outgoing correspondence regarding matters of significance, to include email messages, letters, memos, etc., • Handling special requests, including gift purchasing, coordination of tickets to games and events, charitable giving, team outings, etc., • Creating and managing travel itineraries and expense reports., • Organizing and facilitating meetings, including managing attendees and location logistics (guest check-in, conference room reservation, ordering/setting up catering etc.)., • Using various software, including word processing, spreadsheets, and presentation software to prepare reports, presentations and/or special projects, • Performing other ad hoc duties as assigned. Qualifications (educational, experience and basic knowledge requirements): • Bachelor Degree preferred, • Be able to independently and autonomously identify problems, their sources, and their potential solutions, • Have a strong command of reasoned, measured decision-making, • Be a strategic and critical thinker who is dynamic, detail-oriented, analytical and well-organized, • Take initiative and be forward-thinking, • Maintain confidentiality and discretion, and demonstrate uncompromised judgment, when privy to sensitive or confidential information, • Possess a strong research background and be an “out-of-the-box” thinker, • Have well-developed interpersonal skills and the ability to relate to a wide variety of audiences, including strong communication skills and patience, • Is comfortable with engaging in a variety of different communicative modes (verbal, non-verbal, and written) and being attuned to others through strong active listening skills, • Must be flexible and a reliable team player, both within own department and within company as a whole, • Possess a strong ability to manage one’s own time and prioritize tasks, • Flexible hours required, including nights, weekends, and holidays WORKING CONDITIONS: • Travel Requirements: May be required to travel occasionally including between HBSE’s various offices; trips may require air travel and/or overnight stay., • Work Environment: This position generally requires that work primarily be performed from the Prudential Center office in Newark, NJ though travel to the Philadelphia 76ers’ Training Facility in Camden, NJ will be required on an ad hoc basis. Must be able to work a flexible schedule, including nights, weekends, and holidays as needed., • Physical Requirements: Must be able to move up to 10 pounds. COMPENSATION AND BENEFITS: The pay range for this position at commencement of employment is expected to be between $75,000 and $95,000/year. Base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. This position will be an “at-will position” and the Company reserves the right to modify base pay (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
