Job Description Professional Growth Opportunity with MFS Construction MFS Construction is seeking a motivated and highly organized Administrative Operations Assistant to join our team in San Jose. This entry-level, fully on-site position is designed for a proactive professional who is eager to learn, develop operational expertise, and contribute to the continued improvement of company processes and workplace culture. No prior construction experience is required. We provide structured mentoring and hands-on training across office administration, project coordination, and specialized compliance workflows. This role offers long-term career development while supporting meaningful projects in healthcare, life-sciences, and public-sector construction. Job Responsibilties You will partner with leadership and operations teams to support the following key areas: Process Improvement & Documentation Support • Assist in policy writing and organizational process documentation, • Support development and optimization of Standard Operating Procedures (SOPs), • Participate in SOP optimization initiatives to improve efficiency and accuracy, • Help identify opportunities for administrative workflow improvements, • Partner with management on internal process standardization, • Support leadership with candidate filtering and recruitment outreach, • Assist in reviewing resumes and organizing applicant pipelines, • Coordinate interviews on behalf of management, • Help prepare materials for candidate evaluations, • Participate in interviewing and onboarding logistics, • Ensure new-hire desks are organized and fully prepared, • Confirm required equipment, PPE, and tools are ready prior to start dates, • Provide front-office support by answering phones, greeting visitors, and directing inquiries appropriately, • Manage mail, deliveries, packages, and general correspondence, • Coordinate receiving, shipping, and tracking of deliveries, • Maintain organized physical and digital filing systems, • Order office snacks, beverages, equipment, and supplies, • Track and replenish office inventory and supply levels, • Oversee vendor services such as water delivery and office equipment maintenance, • Create and update trackers, spreadsheets, and administrative logs, • Support scheduling, calendar coordination, and leadership correspondence Prevailing Wage & Certified Payroll Compliance Support • Learn federal and California DIR prevailing-wage compliance workflows, • Assist with preparation and organization of weekly certified payroll submissions, • Follow up with subcontractors for DIR-mandated documents, • Maintain apprenticeship-ratio and training-fund logs, • Support reporting processes through DIR and LCPtracker systems, • Develop presentations and PowerPoints for internal and client-facing use, • Format proposals, reports, and professional materials, • Plan and coordinate team events, parties, and team-building initiatives, • Manage invitations, RSVPs, event supplies, and logistics, • Coordinate vendor orders related to office gatherings, • Assist with San Jose office facility and property-related duties, • Coordinate building access and workspace organization, • Maintain organized records related to office operations and vendors, • Help ensure the office environment remains orderly, welcoming, and professional Who We’re Looking For Minimum Requirements • Bachelor’s degree in any field or equivalent education and relevant experience, • Strong written and verbal communication skills, • Detail-oriented with excellent organizational abilities, • Basic MS Office proficiency (Excel, Word, Outlook), • Positive mindset and eagerness to learn, • Problem solving mentality, • Ability to prioritize and manage multiple tasks, • Dependable, proactive, and team-oriented attitude Company DescriptionCore Values & Company Culture At MFS Construction, the way we work is just as important as the work we perform.
