Position Summary The Legal Practice Analyst is responsible for financial and other practice management functions of the Healthcare Team. Responsibilities include analyzing team-specific financial and other performance data, identifying trends and potential issues, establishing and monitoring processes that enhance revenue and expedite payment, and determining issues that require Practice Group Leader attention or intervention. This position is not involved in performing or overseeing the completion of legal work. Essential Job Functions • Complete the file creation process for all new matters including collecting necessary information, completing and submitting file creation forms, engaging with the Business Office as needed to resolve questions and problems, and ensuring new files are opened and assigned to attorneys expediently., • Review pre-bills to ensure compliance with client guidelines, identify potential write-downs, and provide quality control. Resolve issues as needed in consultation with applicable others, and submit revisions to the Business Office within established deadlines., • Interface with Billing, Accounts Receivable, and Collections personnel to facilitate client communications and expedite collection related to past-due accounts., • Ensure client billing appeals are submitted according to client guidelines and on a timely basis in order to expedite re-submission of charges., • Track clients and client contacts including number of new matters, bill rates, date of last rate increase, and other relevant details. Provide reports to the Practice Group Leader regarding activity, trends, and clients with no new matters in the last three months., • Utilize relevant software to retrieve and analyze timekeeper, client, matter, and practice group performance statistics such as hours, billing, fees, receivables, unbilled time, etc., • Ensure attorneys and paralegals remain current with time entry, providing reminders as needed and elevating chronic or severe issues to the Practice Group Leader., • Review monthly reports to identify shortfalls in billing. Determine if shortfalls are legitimate (e.g., vacation time or leaves of absence) or if follow up with the timekeeper is needed. Prepare activity and status reports for clients., • Assist Practice Group Leader with marketing and business development initiatives, including meeting logistics, travel arrangements, and coordinating with the Marketing Department to secure marketing materials, giveaway items, presentations, and promotion. Participate in the annual budgeting process and review discrepancies as needed. Job Requirements • Bachelor's Degree in Business, Finance or other relevant field, • Experience in a financial, accounting, data analysis or other analytical role required, • Experience in a law firm in an attorney-facing role is preferred, • Exceptional analytical abilities to understand data, identify trends, and summarize findings, • Highly organized with excellent follow-up and follow-through, • Communication skills to effectively interact with a variety of organizational levels and personalities, • Technical abilities to learn and utilize financial reporting tools, create advanced Excel spreadsheets, and prepare written report and other documentation, • Interpersonal abilities to partner with internal contacts and clients, • Work independently to complete projects and lead others to accomplish goals., • Ability to establish and maintain rapport with diverse personalities.
