Job Description Our client, a forward thinking/progressive multi-office law firm headquartered in Northern, NJ, is searching for someone to drive operational excellence, build scalable systems, and ensure consistent execution across their growing firm. This is an onsite role. In this role YOU will: * Work alongside Firm Administration to keep the firm running smoothly, hold teams accountable, and build operational infrastructure needed for growth. Hands-on role focused on execution, systems, and process — not strategy development. * Build, refine, and document SOPs, workflows, and procedures to increase clarity and consistency * Identify inefficiencies and design/implement streamlined solutions * Create/maintain documentation that supports cross-team alignment/repeatable execution * Drive meeting effectiveness by preparing agendas, tracking action items, documenting decisions, and ensuring follow-through * Oversee the operational health of firm systems/platforms (HRIS, payroll, project tools) * Leverage AI and automation tools * Build simple no-code solutions and AI agents (using tools like Replit, Lindy, or Zapier) to solve operational problems * Manage tech vendors/projects. Serve as the firm's POC for technology projects. * Own/improve the employee lifecycle experience: onboarding documentation, role clarity, training coordination, and offboarding * Maintain consistent HR documentation * Support managers with tools, templates, and structure that improve performance conversations and team alignment HR Compliance & Risk Management * Ensure required audits, renewals, insurance needs, are tracked and completed * Ensure HR practices/documentation align with employment regulations/firm standards * Financial & Vendor Coordination - coordinate budgeting support, vendor management, and operational financial reporting YOU might be the RIGHT person if YOU have: * 5+ years experience in operations or business management; exposure to HR administration and compliance a plus * Track record of building systems, writing SOPs, and creating documentation * Experience building scalable infrastructure: onboarding systems, hiring pipelines, interview standards, internal playbooks. * Experience managing vendors and external partners — especially technology vendors * Technology Requirements - Expert-level user of ChatGPT or similar LLMs for operational tasks — you use AI daily to work faster and solve problems. AI prompt engineering experience — you've built AI-powered tools for operational tasks (resume scoring, document processing, workflow automation, etc.) * Advanced proficiency with automation/workflow tools (Zapier, N8N, Make, IFTTT, or similar) * Advanced proficiency with PM tools (Asana, ClickUp, Monday.com, Trello, or Notion) * Comfortable w/HRIS systems, financial platforms, and Microsoft Office 365 * Ability to build simple AI agents or no-code solutions using platforms like Replit * Comfortable learning new tools quickly Comp is up to 110 (BOE) plus a competitive benefits package Master Search Solutions is a direct hire recruiting firm that specializes in the New Jersey marketplace.
