Background info: Jewish Federation of Northern New Jersey is a non-profit philanthropic organization dedicated to creating a vibrant Jewish community in northern New Jersey. Federation cares for those in need, deepens engagement in Jewish life, and strengthens the bonds among Jews in northern New Jersey, in Israel, and around the world. Our primary functions are community planning and allocations, financial resource development, and leadership development. Position Summary: With a passion for the mission of Jewish Federation, the Event & Development Assistant for Women’s Philanthropy provides comprehensive administrative, event, and development support to advance the mission and fundraising goals of the Women’s Philanthropy division of the Jewish Federation of Northern New Jersey. This role is responsible for ensuring the smooth execution of Women’s Philanthropy programs and events, while also supporting donor stewardship, database management, and day-to-day administrative needs. The ideal candidate is highly organized, detail-oriented, and comfortable balancing multiple priorities in a fast-paced environment. Responsibilities: Event Planning & Program Support • Attend all Women’s Philanthropy events and assist with planning and execution of Women’s Philanthropy events and meetings, including board meetings, donor events, social programs, trips and missions, and the Women’s Philanthropy annual lunch., • Event Management, • Invitations, RSVPs, seating, name tags, and related reports, • Event logistics including invoicing, vendor relations, signage, collateral materials, pledge cards, etc., • Registration coordination in Virtuous and QGiv Systems Development & Donor Relations • Assist in the preparation of donor correspondence including acknowledgments, thank-you notes, meeting follow-ups, and impact reports for Women’s Philanthropy donors., • Prepare and maintain in the Women’s Philanthropy Board Directory and email distribution list., • Assist in maintaining accurate donor and prospect records in the database, including contact information, event attendance, giving history, and engagement notes., • Generate donor reports, mailing lists, and call sheets for Women’s Philanthropy leadership., • Support volunteer and donor committee meetings by scheduling, preparing materials, and taking minutes., • Process Lion of Judah and Pomegranate pin orders and handle annual pin upgrades. Miscellaneous Responsibilities • Manage scheduling, calendar coordination, and meeting logistics for the Women’s Philanthropy Director and team, • Handle general correspondence, phone calls, and emails related to Women’s Philanthropy, • Support FRD department for larger events, such as Mitzvah Day, The Big Give (formally Super Sunday), Major Gifts Dinner and Federation Full House., • Support special projects and provide general administrative support to the organization as needed. Qualifications and Skills: • Bachelor’s Degree in a related field including non-profit management, business administration, or event planning, • 3-5 years of office/administrative experience including event planning and/or programming, • Must have strong organization and communication skills with the proven experience of managing multiple project and priorities, • Proficient in Microsoft Office Suite and database systems, • Must have a professional demeanor with strong interpersonal skills, • Flexibility to work some evenings and Sundays, as needed. This position requires in-office work with a remote day generally on Fridays.
