Job Description Position Summary A&M Consulting Engineers is seeking a dependable, organized, and detail-oriented HR & Accounting Coordinator to support our growing team in Visalia. This position will be responsible for day-to-day payroll processing, accounts payable, accounts receivable, human resources administration, and fund management support. This role is ideal for someone who enjoys keeping systems organized, following through on details, supporting employees, and helping leadership keep financial, personnel, and grant-related processes running smoothly. The right candidate will be professional, trustworthy, and able to handle confidential information with care. Key Responsibilities Payroll • Process regular payroll accurately and on time, • Review timesheets, paid time off, and payroll changes for completeness and accuracy, • Coordinate payroll deductions, benefits withholdings, reimbursements, and related records, • Maintain payroll files and assist with payroll reporting, • Work with leadership to resolve payroll discrepancies promptly Accounts Payable • Review, code, and enter vendor invoices, • Prepare and process payments to vendors and consultants, • Maintain organized AP files and track due dates, • Reconcile vendor statements and resolve invoice issues, • Assist with credit card reconciliations and expense tracking Accounts Receivable • Prepare and send client invoices, • Track outstanding receivables and follow up on past due accounts, • Apply payments and maintain accurate AR records, • Support leadership with billing status updates and collections follow-up, • Assist with contract and invoice tracking as needed Human Resources / Administrative Support • Assist with onboarding new employees, including hiring paperwork and new hire setup, • Help maintain personnel files and HR records, • Coordinate benefits administration, employee notices, and general HR documentation, • Assist with policy acknowledgments, leave tracking, and employee communications, • Support recruiting activities such as posting jobs, coordinating interviews, and communicating with candidates, • Help maintain compliance with employment-related documentation and internal procedures, • Provide general administrative support to leadership as needed Grant Management Support • Assist with tracking grant budgets, funding sources, and reimbursement status, • Help organize grant documentation, invoices, backup records, and reporting files, • Support leadership with grant-related billing, payment tracking, and deadlines, • Maintain accurate records for funded projects to support compliance and audit readiness, • Assist with administrative coordination related to grant applications, agreements, reimbursements, and reporting Qualifications • High school diploma required; associate’s or bachelor’s degree in accounting, business, human resources, or related field preferred, • At least 2 to 5 years of experience in payroll, bookkeeping, AP/AR, HR coordination, office administration, grant administration, or a similar role, • Experience processing payroll and handling employee records preferred, • Experience with accounting or payroll software strongly preferred, • Experience supporting grants, contract administration, or compliance tracking is a plus, • Strong understanding of invoice processing, collections follow-up, and financial recordkeeping, • Ability to maintain confidentiality and handle sensitive payroll and personnel information, • Strong attention to detail and accuracy, • Strong written and verbal communication skills, • Strong organizational skills and ability to manage multiple deadlines, • Proficiency in Microsoft Office, especially Excel, Word, and Outlook, • Experience with Gusto, QuickBooks, BQE, or similar systems is a plus Preferred Traits • Reliable and consistent, • Professional and respectful with employees, clients, and vendors, • Able to work independently and take ownership of recurring tasks, • Comfortable following established processes while helping improve them, • Strong problem-solving skills and follow-through Compensation and Benefits • Pay Range: $23.00–$30.00 per hour, depending on experience, • Full-time position, • Medical, dental, and vision benefits, • 401(k), • Paid holidays, • Vacation/PTO, • Opportunity to grow with a community-focused engineering firm About A&M Consulting Engineers A&M Consulting Engineers is a community-focused engineering firm serving cities and public agencies throughout the Central Valley.
