Job Description Position: Master Scheduler Reports To: Vice President Position Summary: The Master Scheduler serves as a key liaison between Sales, Account Management, Manufacturing, and Shipping to ensure every customer order moves seamlessly from production to delivery. This is an exempt role as it requires independent judgment, discretion, and cross-departmental coordination to align customer commitments with operational capacity. The Master Scheduker is responsible for monitoring manufacturing capacity, confirming delivery timelines, and providing accurate, up-to-date information to both internal stakeholders and customers. By balancing customer needs with production realities, the Customer Fulfillment Manager plays a critical role in maintaining on-time performance, customer satisfaction, and operational efficiency. Key Responsibilities: Order Coordination & Process Oversight • Oversee the full order-to-delivery lifecycle for assigned customer accounts, ensuring accuracy, timeliness, and communication at every step., • Serve as the primary liaison between Sales, Account Management, Manufacturing/Production, and Shipping teams to coordinate production schedules and delivery timelines., • Validate new orders for accuracy, lead times, and special requirements prior to release into production., • Track production progress, identify potential delays, and proactively communicate updates to internal teams and customers., • Initiate scheduling meetings as business needs dictate to ensure timely delivery of product to customers, • Act as the main customer contact for delivery status, production timing, and logistics coordination., • Provide consistent, professional communication to customers regarding timelines, order milestones, and delivery confirmations., • Collaborate with Sales to ensure customers receive accurate and timely updates on production capacity, expected ship dates, and scheduling changes., • Partner with Manufacturing/Production to ensure manufacturing schedules align with customer commitments and material availability., • Coordinate with the Shipping Department to schedule carrier pickups, manage delivery appointments, and confirm shipment details., • Monitor and report on on-time delivery performance; identify trends and recommend process improvements., • Maintain alignment between order forecasts, manufacturing workload, and outbound logistics capacity. Reporting & Analysis • Prepare and distribute reports such as:, • Weekly Order Backlog and Delivery Schedule, • Production Capacity Summary, • On-Time Delivery Metrics and Exceptions, • Maintain data accuracy in collaboration with the account management team in ERP/CRM systems (e.g., NetSuite and Hubspot)., • Identify process gaps or recurring challenges and propose operational improvements., • Support management with KPI tracking, forecasting, and capacity planning data., • Additional tasks assigned as needed Required Skills/Abilities: • Strong understanding of manufacturing processes, capacity planning, and logistics coordination., • Experience working in a custom or made-to-order production environment highly preferred., • Proficiency in ERP/CRM systems (NetSuite, Hubspot, or similar)., • Exceptional written and verbal communication skills with a professional customer-facing demeanor., • Exceptional phone etiquette and ability to create two way communication and follow up via phone discussions., • Strong analytical, organizational, and prioritization skills; capable of managing multiple concurrent orders., • Demonstrated ability to make independent decisions, exercise discretion, and influence cross-functional outcomes., • Proficiency in Microsoft Excel, including dashboards, pivot tables, and data tracking. Education and Experience: • Minimum 3–5 years of experience in sales operations, order fulfillment, or production coordination within a manufacturing or distribution environment., • Bachelor’s degree in business, Supply Chain, Operations Management, or related field preferred. Language, Physical, and Travel Requirements: • Excellent proficiency in spoken and written English is required, • Proficiency in spoken Spanish is beneficial, • Extended periods of remaining stationary and working on a computer, • Occasionally lifting weights of up to 25 pounds, • Located in daily commutable proximity to our Manufacturing Center in Medley, Fl
