Job Description Position Title: Office Manager / Administrator Reports to: Partner Department: Administration Location: 280 S. Mangum Street, Durham, NC; in-office position Classification: Full-time; Exempt Summary / Job Objective: This is a key position that will have two main areas of focus: Office Manager and Executive Administrator. As the Office Manager, this position will be responsible for ensuring the office runs smoothly. As Administrator, this role will complete various administrative duties for members of the Verity Executive Team as requested Essential Job Functions: This position requires: lifting up-to 25 lbs, repetitive movements used for typing/texting/dialing, the ability to sit and/or stand for up-to 8 hours/day. Primary Responsibilities: Office Manager · Coordinate office facilities management including supplies, equipment maintenance, and vendor relationships · Manage daily mail operations, including retrieval, processing, and address updates across multiple systems · Perform data entry and database management using various financial software platforms · Support compliance initiatives through document preparation, regulatory searches, and required mailings · Assist with client communications including welcome materials and correspondence management · Facilitate meeting coordination and presentation support for webinars and quarterly events · Handle shipping, mailing services, and postage management · Generate reports and provide administrative support to compliance and advisory teams · Maintain accurate client profiles and account information · Process account terminations and required documentation Executive Administrator · Provide administrative support to executive management · Other duties as required Qualifications: · Must possess a high degree of discretion, a high level of professionalism, and a strong sense of urgency · Must possess strong computer skills (proficient in Adobe Acrobat, PowerPoint, Word and Excel) and must be able to adapt quickly to a changing environment · Experience with database management and multi-platform software · Proficient in Google Workspace and Gmail a plus · Full comprehension of office management systems and procedures · Exemplary planning and time management skills · General IT experience / knowledge a plus · Familiarity with a financial services regulatory environment preferred Core Competencies: · Excellent organizational and communication skills · Attention to detail a must · Ability to handle multiple priorities and to solve problems while maintaining a positive attitude is essential · Welcomes change as an opportunity to grow, entrepreneurial in nature · Self-starting and takes initiative naturally · Cohesive team worker and open minded to the ideas of others · Willing to take on new and additional responsibility quickly Compensation & Benefits: Compensation (based on experience) • Annual Base salary: $50,000 - $60,000, this is an exempt position, • Annual performance bonus target: 7% Benefits • Employee benefits (medical, dental, vision, life insurance, other), • 401k with employer match, • Paid Time Off, • Paid parking Limited-to-no travel required, however there may be times when after hours (nights/weekends) urgent requests come in that need to be handled immediately.
